Creating an efficient, shared workbook that is updated/saved frequently

    Hello!

I'm attempting to rebuild a tracker for my company, and need help finding ways to make it more stable as our current ones lock frequently.

Essentially, the tracker consists of 32 tabs. 30 of the tabs are for individual use, and employees enter numbers into the boxes about 10 times a day at random intervals, saving each time they do so. The first tab is a tab that shows overall performance and information pulled from each of the individual tabs. The last tab is a tab for higher level data entry that is updated/saved every 30 minutes or so. All of the individual tabs also pull data (three or four values) off of this 'data tab'.

Throughout the day the tracker frequently locks. Occasionally it says who it's locked by, in which case we have that person close the tracker (if they can, or they'll use CTRL+ALT+DEL). At that point, it just gives us another name, and another, until we all end up having to exit it, and reenter it. Sometimes, it will just say that it's locked and won't let anyone save or close it.

I'm trying to avoid problems like this. I'm not sure why they happen, but it's consistent across all of the different versions we've tried (they're all similar). I'm open to any other formatting/layout ideas, but would just really love some input as to how to avoid this. Thank you!!

    Hello,

you may not want to hear this, but you are using the wrong tool for the task. Excel is not a multi-user application. Although it is possible to share a workbook so that it can be edited by multiple users at the same time, this feature has always been the cause of many headaches, including corrupt workbooks, data loss, inexplicable behaviour.

The scenario you describe can easily be handled by a database. Chances are that if you have Excel, you also have Access. Building such a tracker application with Access should not be too hard, even if you are just starting out with Access.

    cheers, teylyn
