    Multiple cell drop down list

    I'm a bit of a basic Excel user and need some help creating drop down list that will populate multiple cells. Attached is a example of what I have. On the first page, I need to populate the 3 cells in the middle with info from the second tab. I then need every row on the first tab to have this drop down. Any help would be appreciated.

    I'd think you'd want to use Item Code for your dropdown since those codes appear to be unique. So, the attached is based on that assumption. Included in the workbook is a dynamic named range titled "Item_Code" along with this code

    I'd think you'd want to use Item Code for your dropdown since those codes appear to be unique. So, the attached is based on that assumption. Included in the workbook is a dynamic named range titled "Item_Code" along with this code



    I really appreciate your help. I think what you have is on the right track. I do need to have the item description be the drop down list though and for the Item code and price to be populated. When I click the drop down list though and make a choice, nothing seems to populate. Do I need to change anything on my Excel to enable the code to work?

    You don't need to do anything special. Open the book I posted and allow macros. Select an item from the dropdown in column B, columns C and D will be populated.

    You've 8 items labeled "ANGLE WALL CABINET 1-DRAWERS". How is the user to know which they're selecting? Based on your explanation, a different approach may be required.

    That is just fantastic. Thank you, Thank you. Been wanting to be able to do that for about 3 years. I see your point about the multiple description entrys. Is there a way to merge the Item Code cell and Description cell without losing the text of either and then using a drop down for the new single cell. The actual data tab has about 1300 rows. This was just a sample.

    With 1300 items, what would be your ideal solution? What have you considered? What have your users considered?

    Seems to me, Item Code is the way to go...it's unique...and should be part of your pick list (or whatever you're using). There's a lot of things we can do with user forms including Auto Complete such that when a user types in a part number (or a description) their choices narrow.

    You (and your users) think through the process and figure out what would make things simpler. I'll help you if I can.

    Thanks for your help on this so far. I've spent some time today working out what I need to accomplish with this. I am going to stick with the Item code like you have it. The Auto Complete would be very helpful though with the number of items involved. The only other items I need to have work are the four colored areas at the bottom. I've created additional worksheets with the data to go in these fields. The text field would be the ideal drop down cell. Is this doable?

    That is exactly what I was looking for. Only other item on the wish list would be to have the auto-complete in the Item code drop down list for the part numbers up in the body of the doc. Thank you very much for the help. This document is going to save me a lot of time.

    The attached has a modified type ahead feature. Instructions are included. I still don't understand the markup for door style being marked up on the entire project, but, if it works for you, works for me.

    I see your profile is Excel 2007. The procedures perform as expected in 2007. Excel 2000 DOES NOT like it.

    To mark your thread solved do the following:
    - Go to your first post on the thread
    - Click edit
    - Click Advance
    - Just below the word "Title:" you will see a dropdown with the word No prefix.
    - Change to Solve
    - Click Save

    John,

    Spreadsheet has been working great until recently i switched from Excel '07 on Windows to Excel '11 on Office for Mac 2011. When I try to double click on the cell to do the auto-fill search, I get error messages. I've attached a screen shot of what happens as well as a copy of the excel file that is not corrupted. It seems once i've gotten this error, it corrupts the file and will not even let me double click to auto-fill the cell in MS Office Excel. Any ideas??

    It would seem the issue is related to your new environment. I actively use a Mac but run Excel on a virtual machine using VMWare Fusion software so, I have no way to duplicate your environment. Sorry.

    I also have been running it in a virtual machine using VMware Fusion with no problems. Downloaded the free 30 day trial of Office for Mac 2011 to give it a try because of Outlooks multiple exchange account support. I guess I can continue to use it through the virtual machine and use the Excel for Mac for everything else. Thanks for your help.

    Does the macro you created for this workbook use Active X Controls? If so I think that's why the Mac won't run it. Just curious.

    Yes it does. The CombBox you see on double click in a Column B cell is an ActiveX Control.

    That explains it. Maybe they will add support for Active X controls in a future release. Workbook still works fine in Windows Excel through VMware.

    John,

    Would it be possible for you to remove the Active X items (ie. the combo box) etc. and still be able to use the drop down boxes that populate the other columns. I know i'd just have to scroll through the list. I've tried myself and just can't get it. I have one of your earlier files with the drop down box populating the description and price columns and it runs fine on the Mac. It doesn't though have the drop downs at the bottom. It would be helpful to have a version I can use on the Mac when I need to. The Mac can run i guess very basic macros that don't use Active X. I've attached my current working version.

    yes, but I do need the door styles and etc. to still drop down. Just don't need anything with the auto-search.

    Noticed a strange thing. My items code list has 1220 items in it, but only 1027 of them show up in the Mac drop down list. Also, the Mac drop down list does not have the scroll bar like the Windows, only arrows at the top and bottom. Takes a long time to scroll on the laptop. Page up and down work OK though using a attached keyboard, and allows choosing a item much faster. Any ideas on why I can't see all my items? Thought maybe I had a empty line but I don't. Have noticed before that would cause the list to be short. On Windows, the whole list is displayed.

    I would assume the same applies on the Mac side but honestly don't know. You can check this by looking at the formula. Assuming there are no Mac specific limitations, the results should be the same.

    I'm really sorry I can't be more specific but I have no knowledge in Excel for the Mac.

    What I'm trying to do is make this file compatible for either PC or Mac and I think I've come up with a solution. Evidently the Mac drop down list can only hold 1000 items. What I've done is break the entire data list into separate sheets (tabs). On the main pricing page, I have added a "Category" column. It would be great to click a drop down list in the "Category" column and then a new drop down is accessible in the third column that pertains to the Category chosen and the corresponding tabs at the bottom. This third column drop down would then populate the the other columns as it has in the past. I have also added a new section at the bottom for items that do not need to be affected by the Door Style, Finish, etc options. The total is then generated from the two sections. I will post all of this to the forum along with my current file.

    Absolutely fantastic. The top part seems to function just perfectly. If I'd known the format for the data should be different I'd have done all that work first. Sorry about that. Only two items I see that would help even more is if the bottom section would function just like the top section. The bottom will only use a couple of the categories, like modifications, etc., but it is OK if tyhey all show in the drop down list. Also, is it possible to make the Clear button work again?

    I assume you're referring to columns B & C, rows 47 through 54. If so, you can do that by simply copying Columns B & C, Row 40 then paste to rows 47 through 54. It'll paste the validation to those new rows.

    Regarding the "Clear Button", I'll need to look at an old version to see what we were doing. Get back to you.

    Been working on the pricing system today and updated and modified the items in the "Modifications" list of item codes. Now the secondary drop down list for Modifications won't work. Any ideas? Will I be able to adjust all the other items codes? Attached is the current file.

    I can pretty well guess what you did but I'd like you to detail it for me. If you did as I guess, there's a way to "fix" it.

    The procedure is built around Dynamic Named Ranges...you can add or modify items within those Named Ranges...you can even delete items within the Named Range. However, you can't DELETE the ENTIRE range unless you redefine it.

    So, detail what you did and I'll explain how to fix it (case you do it again). Also, try as I suggested...modify and/or add items to other categories...satisfy yourself that it works.

    When I had finished adding items, I copy and pasted the Modifications list to another sheet so I could re-sort them alphabetically. Then I re-pasted them back over to the master list, same quantity, just re-sorted.

    Look at your "Named Ranges" (in Excel 2007...Formulas --> Name Manager...don't know where it is in Mac Excel...look for it). You'll see that Modifications has #Ref next to it. Basically, you've deleted the reference. I'll explain how to recapture the Reference. In the meantime, try this
    try as I suggested...modify and/or add items to other categories...satisfy yourself that it works
    I want you to be comfortable that the Dynamic Named Ranges do work. Let me know your reaction. In the meantime, I'll detail how to fix the issue you've described.

    Bingo, Fixed. Had no idea we were using "Named Ranges". Have had some experience with them in the past. Fixed the REF issue and everything is working correctly. Now I know how to fix in the future.

    Have added a couple screen shots showing where the Name list is. Figured from the others what the column letter needed to be.

    I am trying something along the same lines, but slightly different. I have to admit I am a noob at programming in Excel. What I would like is the person (in this case me) to select the area the work is being performed in, and the system fills in labor, #of operators and overhead in the cells following it, pulling the data from the Info tab.

    I opened the example xls you attached. I'm trying to do the same thing with my sheet but was unable to find the formula's of how you did it.

    I have a drop list of names from a "data" tab much like the Cabinet Pricing list. When I select a name from the drop list, I want 6 other cells to auto populate with: phone number, address, etc... for the person I selected. Any help would be appreciated.
