ive tried using macro and filtering. But the problem is that when I filter the fist time and paste in the new location everything is ok.

The second time I try this I am not allowed to paste in row 1 because im in filter mode and row 1 isnt there . and when I remove the filter the copy is no longer there. Any ideas of how to bypass this ?

is this what you need ?
raw data goes on first tab
second tab lists out as you require
the formulas on summary sheet are array formulas and have to be confirmed with ctrl+shift+enter (that'll put the {} around it) i only extended the formulas down about 50 rows (coloured area) you can extend it further with click drag down if required. also the formula only looks at 500 entries on raw data sheet. you'd have to adjust ranges to suit.
but with lots of data it could take some time to calculate itself!

    thats perfect.

There is just one mistake that I did. and that is that the raw data is not ordered by status. so the status looks something like this :

    online
    offline
    offline
    busy
    online
    lunch
    online
    etc..

would be really nice to fix that

    thanks for the answer

nevermind what I said about the arrangement , that is easy to fix.

there is another problem . and that is that I am missing two entrys on each status. and instead I get two entrys from another status.

    it looks something like this

    online
    online
    online
    online
    busy
    busy

that pattern propagates on all statuses. and I am thinking that this part of the code is the culprit : IF(ROW()-2>
