Name of the person printing document in footer

    Name of the person printing document in footer

    Hi All,

    Its my first post on this forum and I am wondering if anyone can advise me.

    I would like to insert Via User Input Form or VBA or Headerfooter options (anythign possible) "Name of the person" and "date of printing" in the footer before letting person to print any document. The purpose of this is to track who is printing particular document. If someone print a document, I also want to save this information in a tracker saying Mr. A print "Document A" on "Date".

    I am wondering is it possible to have this detail in MS Word.

    Hi,

    If you put field codes in the footer for Username and date, it will update on opening.

    To add fields, go to Insert > Quick Parts > Field

    Creating a tracker to record documents printed is beyond my knowledge, sorry.

    Word has fields you can use for this purpose, no VBA or Input forms required. Simply insert two fields into the page header or footer - a USERNAME field and a PRINTDATE field. You can add these via Insert|Quick Parts|Field.

    The best way to handle that is via your network setup. Although macros could be written to output such information, their success depends on whether the user allows them to run. Network management tools allow your organisation to track not only who prints files, but also who accesses them and whether they copy the files to a USB stick or email them, for example, so they can print the documents from elsewhere without being tracked...

    Thanks for the reply from both of you. I appreciate it.

    I followed your advise and adding field is the way to go. However, there is a minor issue. I have to hit F9 to refresh every time i open my doc. I tried it at different pcs and i have to "update field" manually.

    Can it be like, when i open document and it automatically update user name field.

    A Document_Open macro in the template's 'This Document' code module could be used to force an update.
