chart not showing proper data.... How do I make a chart

    Hi all,

I am trying to eventually make a combination clustered/stacked bar chart. I think, in order to do this, I need to start with a regular bar chart and then edit. My problem at the moment is, when I select the data for my chart, it doesn't show up nicely like it does on youtube videos. If i go to another page in my worksheet and select data, it shows me a nice bar chart with all the titles and whatnot lined up nicely on the xy axes. When I select the data I actually want for the chart it clumps everything together. I will paste a tiny workbook for you to see, and maybe you can make sense of what is happening and enlighten me.

On sheet one, I am trying to make a chart with the orange highlighted cells. Across the top, I need my DT hours. I will edit those to start from 0 and increment by quarter hours to a total of ten hours.
Down the side, I need my equipment description, and equipment type.

What I am trying to show is how long each piece of equipment is down based on a day.

So Nov 1 - CR01 Elrus... - Crusher was down for 15 minutes
Nov 1 - BC01- Conveyor was down for 15 minutes
Nov 1 - Primary Grizzly - Feeder was down for 30 minutes

I am going to eventually need my chart to only show the data of a specific date based on a drop down date list on a separate sheet.

On sheet 2, there are 3 screenshots of what I actually need my chart to look like.

So, I know what I need to do, but I literally have not the slightest idea of really where to start. Since where I started isn't even working for me.

(sidenote, the small yellow cube on the end of the bars in the screenshots are a count. The Stacker bearing was down 1 time for 5 hours, the conveyor was down 1 time for an hour and a quarter on June 26, 2019)

If anyone can read through my convoluted explanation and questions and come up with some ideas and help, I would be forever grateful.

Re: chart not showing proper data.... How do I make a chart

I do not understand (probably because Microsoft has never published them to my knowledge) exactly how Excel takes the selection and parses the selection into data series when a chart is created. Suffice it to say that, whatever algorithm Excel uses for deciding how to parse your selection into data series sometimes fails completely. Something about your data table completely befuddles this algorithm, and Excel creates a garbage chart.

Fixing this after the chart is created is not overly difficult, though. Simply bring up the "Select Data" dialog (wherever your version hides the Select Data command -- in my version it is in the Chart Tools -> Design Tab), and Add/Remove/Edit the data series until the correct data is assigned to the appropriate data ranges. For example, in your charts on Sheet1, I:
    1) Select the chart
    2) Bring up the Select Data dialog (Chart tools -> Design -> Select Data)
    3) Click on the Edit button beneath "Horizontal Category Axis labels" and make sure that it is using E2:E8 for these labels.
    4) Edit the lone data/legend series. Make sure that the values field is using C2:C8 for the values and whatever cell or value I want for the name.
    5) Dismiss dialogs and see if the chart is correct.

That's how to fix the chart after creation. If you want to fix the chart before creation, you will need to better arrange the data in the data table to make it easier for that series parsing algorithm to correctly detect your desired data series.

Will fixing the chart after creation by editing the data series work for you?

Re: chart not showing proper data.... How do I make a chart

    Hi MrShorty,
Thanks for your reply, but that doesn't do anything. Or better, it isn't making my chart look any better. Initially I needed to pull the data from a much larger worksheet, and when I couldn't figure out how to do that, I made another worksheet that pulled the data from the original (which is what I have shown here). I even tried to make a chart with the original worksheet and it still isn't doing what I want. I am very new to excel and I am pretty much self-taught. I have had a couple problems answered here for me for other things. I actually thought the charting part of my workbook would be the easiest part. Apparently, I was wrong. I wish I could upload the entire workbook so y'all could see what I am trying to do and where everything is coming from. It really can't be that difficult, I will keep working at it.

Re: chart not showing proper data.... How do I make a chart

If my suggested edits did nothing, then I am not sure what to recommend (though I have a hard time believing they did nothing, so I wonder what went wrong). Can you upload a file after attempting my edits so I can see what you tried to do?

Basic charting in Excel usually isn't that difficult. One thing your extracted data table does that complicates your chart is that your category values are in the rightmost column of the table, but Excel likes to see the category axis column be the leftmost column. Maybe try this:
    1) Select C1:C8 and copy/move to F1:F8.
    2) Select E2:F8 -> Insert chart -> clustered bar chart to create a new bar chart. Excel should automatically use E2:E8 for the category range and F2:F8 for the values range, and you should get a nice looking bar chart.

Re: chart not showing proper data.... How do I make a chart

    Hi again MrShorty,

That worked, and I now have a pretty chart. Now I can continue on with the rest of my problems. Hoping to be able to figure the rest out on my own, now that I have a base chart to start with. I assumed it was going to be something easy that I wasn't seeing, and rearranging my columns was just that.

    Thank you so much.
