    Lightbulb Gantt help needed!

    Good afternoon everyone,

    I am working on a task allocation spreadsheet which is, currently, a very manual process.

    After extensive search on-line, I came across the Gantt spreadsheet which looks like it could solve my problem.

    Here are the criteria:

    - I have 17 agents
    - Rather than working with days (like the Gantt), I work with hours/mins (tasks are allocated on a daily basis)
    - Ideally, I would prefer the have the tasks appearing in column rather than row

    I have a Gantt template which I've tried to adapt to my schedule but unsuccessful so far.

    Please find attached both the Gantt template and my spreadsheet.

    I hope this is enough for anyone to work its magic.

    I am a big proponent of using the right tool for the job. I have seen a lot of attempts in making Excel a project management tool, but it just isn't and seems to cause problems.     Hi Pauleyb,

    Thank you for your reply.

    Unfortunately, I am restricted to Excel at the moment (management restrictions....). Also, the list of tools you've sent seems to work on days/week like a classic Gantt chart, however, I would like to work on hours/mins instead.

    Is there anything I could do?

    Sorry those tools can't help you. I checked on ProjectLibre and it can go down to 2 hour increments, so that probably does not help you as you surmised.

    As for what you can do, I guess you are on the right track in asking for help in this forum. What you ask for is not trivial. Looking at the template you provided, it can be reworked, but it would have its challenges. It also seems you have trolled the internet in trying to find some templates, so I hesitate to point out any others, as you have probably already seen and discredited them.     You can download his template, but you can also see how he gets it to work and maybe utilize those techniques for yourself.

    Not sure if I'm over simplifying this but if you just want to chart the time periods spent on each task for each agent then there are a couple of ways to go. One is using Conditional Formatting in cells and another a stacked bar chart. I've created and example of each. The bar chart data is just a sample and would have to be amended for more tasks and time periods.

    Hope it gives you a few ideas.

    Hi DBY,

    I just thought of something else.

    Based on your spreadsheet, would it be possible to:

    - On the graph: to have the name of the Agent on the horizontal axis and the name of the task in the highlighted section
    - On the table: to have the name of the task in the highlighted cells

    It might be possible but the data table might have to be restructured. The table would require formulas to be inserted in the cells in some way to return the task number. I'll look into it and get back if I find a suitable solution.

    Sorry it took a while I've been a little busy. I've put some example charts ('More Chart Examples' tab) in this second attachment and applied some formulas to the CF chart by using a couple of helper columns. I've also protected the formulas in sheet1 to see how it would all work without anyone overwriting them.

    Hope it helps. Ask if you need any clarification. Pauleyb was perhaps right. Maybe we're pushing Excel where it doesn't want to go without a fight.
