    Count Number of Employees Per Month Using Pivot Table Excel 2010

    Hello,

    I'm just getting my feet wet with pivot tables and have watched videos, read examples with no light bulb going off yet! I'm trying to figure out how to count how many employees are in each month using a pivot table. It is counting the number of entries per person and I've tried switching the value field setting around with no success, is there a way to do what I want to do? I can use an employee number vs employee name if that matters. The names do repeat throughout the months, people leave and new people come.

    Below is what I'm trying to accomplish:

    May Count 3
    Betty Lou
    Mary Jane
    Bobby Smith

    June Count 4
    Betty Lou
    Mary Jane
    Bobby Smith
    Joe Blow

    I know what I forgot to clarify, employees names are repeated several time throughout the month, so when I do my count it's counting each time. I attacheda sample of what I'm working with.

    If the data list is editable,

    it can go to the Data > Remove Duplicates

    Select both column and press OK

    then do the pivot table.

    if not editable, it can add one more helper column

    at C2

    All you need to do is, with your data selected, Insert>Pivot Table
    Check "Existing Worksheet" Location : D2
    Drag "Month" down to Rows
    Drag "Employee Name" down to rows
    Is that what you are after?

    Great...

    I am assuming that you know how to create a pivot table (by highlighting your data source, then click on the Insert tab and select PivotTable).

    I showed you 2 different pivot tables (which are created the same way, but the fields are distributed into different areas.

    The first pivot table:
    - I placed the MONTH and EMPLOYEE fields into the ROWS area.
    - I also placed the MONTH field into the VALUE area as "COUNT of MONTH". (see image 1a)
    - Close the Pivot table window.
    - Next click on either the MONTH or Employees field on the pivot table (this will produce the PivotTable Tools on the menu bar), then select the Design tab. (see image 2)
    - Select REPORT LAYOUT > SHOW IN TABULAR FORM (see image 3)

    The second pivot table:
    - I placed the MONTH field in the COLUMNS area
    - I placed the EMPLOYEE field into the ROWS area.
    - I also placed the MONTH field into the VALUE area as "COUNT of MONTH". (see image 1b)
    - Close the Pivot table window.
    - Next click on either the MONTH or Employees field on the pivot table (this will produce the PivotTable Tools on the menu bar), then select the Design tab. (see image 2)
    - Select REPORT LAYOUT > SHOW IN TABULAR FORM (see image 3)
