    Using a barcode scanner with excel

    I'm happy to pay someone to set this up for me. I had a quote from a company for £400 which seems like a lot for what I thought would be a simple job.

    I need to be able to to check the stock on deliveries I receive. I've just bought a barcode scanner to help me with this.

    What I do when I receive a new order is match the delivery note with my spreadsheet, and then count the stock and mark the quantity off in the spreadsheet. What I need to do is create a new column for received quantity and use the scanner to scan each product pack that I’ve received and result with a number in that column.

    I just need it simply to speed up my way of counting the stock, so the process be:

    • Order comes in
    • You open the spreadsheet
    • You press go (or set up the formula?)
    • When you scan a barcode it automatically enters the number “1” in the quantity column in the row that matches it’s barcode.
    • If I scan the same product again, the number will change to “2”
    • Repeat with other products in the order

    Does that make sense?

    Unfortunately there was no sample spreadsheet, so I put together an example.
    Generally a barcode scanner should function as an input device, i.e. like a keyboard or mouse but with the limitation that it provides the computer with the barcode number and nothing else. Most scanners will only provide a value as false reads are stopped on the scanner itself.

    When you have excel open, it typically will put the value of the barcode in the activecell.

    So in my example that cell should be G2. Once the barcode has put in a value, hit the button to see the quantity increment if the barcode was found.

    That can be automated to be triggered when the cell value changes or similar, to remove the need to hit the button.
