    Trying to collate annual leave and absence information

    First off, I apologise if this has been posted in the wrong sub-forum, or if it has been answered elsewhere and I have missed the thread in question.

    Currently the department that I work for has 2 ways of monitoring annual leave and absences, one being an HR run system and the other being an Excel spreadsheet that is updated manually as needed. Lately there has been some concern regarding the feasibility of this spreadsheet in ensuring that no one is off without cover, primarily with regards to staff being on training courses (ie, at work as far as the record is concerned but not actually available).

    Is there a simple way that we could monitor this (the annual leave and training data is currently kept in different spreadsheets)? I did consider pivot tables, but as I have used them rarely in the past I hoped that someone might be able to offer a suggestion before I muddle my way through to find I've misunderstood something and it's not a viable solution after all!

    Unfortunately the current spreadsheet is currently looked after by one of my colleagues who is on holiday herself. As it's a confidential document I can't access it through my account, and was asked to find out a bit more about what options are available by someone else in the department (it is being bounced around a bit) without knowing what the current format looks like. From what I understand ideally they would like to be able to compare who is off on leave on a given day against who is in office and available to cover the work. However they don't want to include the training days in the current spreadsheet as the amount of information on it is apparently getting out of hand (again I haven't seen it myself).

    I'm sorry that I can't provide much information at the moment! As I said in my initial post I've seldom used pivot tables in the past so didn't want to rush ahead to set one up if it was a waste of time, but would that be a possible solution in your opinion? Or is it impossible to answer without more data to work with?
