Smile Web Query - Adding blank rows with new data

Hi guys, When importing data from the web into an Excel 2010 spreadsheet, how do I ensure that information that I add later moves down with the corresponding information once the connection is refreshed?
What I am doing is accessing a website for our students, importing the data (e.g. new students their start date phone numbers email etc.) then adding extra information later on in the corresponding rows, e.g. introduction messages etc. so we have a record of what actions were carried out in relation to the learners.
When I refresh the query it adds to the existing data well enough but the problem is that the information which is added later remains in the same position and does not move down automatically. As it stands I need to manually insert cells to correspond with the amount of new entries.
I wonder if any of you might have a suggestion whereby this process is automated. I'm afraid I cannot post an example as it is confidential information.
I hope question is clear enough and apologies in advance if this is not posted correctly (newbie)
