    Question What's The Best Way to Accomplish This Sorting and Counting Task

    Hi, I am a jewelry maker and I would like to create an Excel spreadsheet to make my production tasks easier. I am by no means an Excel expert. I can follow a tutorial if I knnow what I need to do but because I am no expert I don't always know the best route to get something done.

    I have a spreadsheet that lists my base product line, each piece is made up of several components. What I would like to do is select a product, select the qty I need to make and the color and have it return the number of each individual component I need to make that qty of items.

    Ex. Blue Stone Necklace
    Qty: 2
    Return Components:
    25 small blue stones
    50 small white stones
    100 small silver beads
    1 large green focal.

    In addition, I would like to be able to pull this information simultaneously for other items and have it calculate the complete total.

    For example in addition to the 2 blue necklaces I also want to make 5 red necklaces that use some of the same blue stones and silver beads. I would like for the spreadsheet to also be able to tell me the total of all silver beads and blue stones needed for the 7 necklaces.

    Is this even possible?

    Yes, what you have described is possible, but you will need to provide some indication of the layout in which the source data exists so that anyone helping can advise you of the best way to proceed.

    Right now the data is as follows:

    Column A-List of products with all colors
    EX: Big necklace blue
    Big necklace green
    Big necklace pink

    Column B-Qty for Column A

    Column C- All possible components with all colors
    EX: small bead blue
    Big bead blue
    Small bead red

    I need Column D to tell me the totals needed based on what is selected in A,B and C. But, I also need this to be able to tell me which components make up for instance Big necklace green (If I were to select a field in Columns A a list of what makes up that product would show. If I added Column B to the query it would show a list of all components to make that product and the qty)

    I am not even sure how I need to enter the
    data for the required outcomes. I have no idea what I'm doing.

    Will you please attach a sample Excel workbook?

    1. Make sure that your sample data are REPRESENTATIVE of your real data. The use of unrepresentative data is very frustrating and can lead to long delays in reaching a solution.

    2. Make sure that your desired solution is also shown (mock up the results manually).

    3. Make sure that all confidential data is removed or replaced with dummy data first (e.g. names, addresses, E-mails, etc.).

    4. Try to avoid using merged cells as they cause lots of problems.

    Unfortunately the attachment icon doesn't work at the moment, so to attach an Excel file you have to do the following: just before posting, scroll down to Go Advanced and then scroll down to Manage Attachments. Now follow the instructions at the top of that screen.

    Please pay particular attention to point 2 (above): without an idea of your intended outcomes, it is often very difficult to offer appropriate advice.
