    Match records without using conditional formatting

    I work for a hotel and I have saved a sheet containing all previous guests. Each month I receive an arrival sheet and I would like to cross reference the two. I know it's easy with conditional formatting but this can sometimes miss data.

    The imput is usually saved as 'surname, firstname & firstname' (as in SMITH, JOHN & MARY) but as this data is manually entered it is prone to human error. Is there a way to check surname first and then the first names?

    Conditional formatting is not prone to errors any more than regular worksheet formulae are: it's the underlying data anomalies that cause it to fail, and in your case, the same anomalies would cause regular lookup formulae to fail, too.

    You can build lookup formulae to get round some of the mismatches you are describing, but you have to somehow manage to cover every base in the formula. I would recommend that you Google and get for yourself Microsoft's Fuzzy Lookup add-in.
