Rolling Monthly Roster linked to In or Out Occupancy

    Hi,

We have a Monthly Camp Roster Sheet, [R] = resident in camp / [Out] = resident left / and [In] = resident returned.
However, our second sheet (the one we need linked), is occupancy in the room, which shows; 1 = resident in / or 0 = resident out.
How can we link this from the Roster sheet, so that any time during the month when she/he is [R or In] - it shows as [1] on the occupancy Sheet? But when the roster sheet has an [OUT] in the cell the occupancy shows a zero?

If Jim has 16 days as [R] on the rosters sheet, its always shown as [1] on the occupancy sheet. As soon as Bill leaves and we input [OUT], automatically the occupancy cell should change to [0] and so on when he returns.

Would really appreciate guidance and help on this thank you so much.

    Hi, welcome to the forum
I suggest you attach a sample file since working with an image is more difficult to explain

...as well as uploading the file you may need to consider the advisability of using merged cells in column A of the occupancy sheet.
Most of us avoid merged cells like the plague - they just cause too many problems for reasons we needn't consider just at the moment.

Here's how to attach a file (since you do not say what's the reason or error)

No need for an attachment to explain how to attach an attachment ...

Unfortunately the attachment icon doesn't work at the moment, so to attach an Excel file you have to do the following: just before posting, scroll down to Go Advanced and then scroll down to Manage Attachments. Now follow the instructions at the top of that screen.

Re: Rolling Monthly Roster linked to In or Out Occupancy

There's a couple things I don't understand (although they may not be relevant to the question you pose):
    • How can cell U12 be "R" given that it follows "Out" in T12?
    • How can there be "R"s in rows where the "NAME" column is blank?

A few assumptions - if I have any of these wrong, let me know.
    • I think there needs to be a particular date to which the CRR worksheet applies or do you assume today()? For now I have created an "as-of date" cell CRR!G1
    • There has to be a key or link between the two worksheets. The only thing they have in common is NAME, so that is what I have used.
    • I assume that the formula you are looking for is for the CRR worksheet col-C.

That all said, if my assumptions are correct, then I think the following formula in CRR!C2 and copied down does what you need.
    Formula: copy to clipboard

Attached is your workbook with the formula applied with a selected date of 3/20/2019 in G1.

Let me know if this works for you
