    Keep rows hidden even after clicking +/- rollup buttons

    Hi all,

    I have a lot of rows rolled up into one field, that is hidden and shown under the "+ and -" buttons on the left. This works great and does exactly what I need.

    The problem is that I want to hide completed fields, and only show open ones.

    1. If I hide the field then I click the + or - buttons, the hidden fields show up again.
    2. If I create a column call Status I can filter by Open or Closed, but the problem is that once I click the + or - again, it defaults back to showing everything, and I have to re-filter again.

    Is there any way to work around this, or can I "permanently" hide rows so they don't show up when clicking + or -?

    Hi,

    I think you dont want the others to view your grouped records, if Yes
    Then just protect your sheet that would not allow others to click in +.

    I want others to be able to view all grouped records except for some that are now complete. Therefore, I wanted to be able to hide the completed records, and only show the open ones.

    However, once I hide anything, as soon as I use the + and - buttons, now they are all unhidden again.

    You can just have to hide those before sharing to audience that you don't want other to view.
    Also you just need to protect the sheet before sending to the audience,

    Here's how I'm using it:

    Rolled up (- button hit):
    Tech 1 - January % available, February % available, etc.
    Tech 2 - January % available, February % available, etc.

    Expanded (+ button hit):
    Tech 1 - January % available
    January Project 1 25%
    January Project 2 50%
    January Project 3 0% (Complete)

    In the last example I hide the Complete projects because I don't want the tech to see those and think they need to update the percentages they are working on them... but these hidden/unneeded fields still feed into the "rolled up" percentages, so I don't want to delete them altogether. Hopefully this makes sense.

    So the tech sees the "dashboard" which is everything rolled up with the "-" button. We then ask them to hit the "+" button to expand it out and fill in their % they are working on each project. When they do this, they now see the hidden closed projects, as well... which I don't want them to see.

    Hey Heygreene,

    Still now very clear with your requirements, if possible to attach sample file with your requirements.

    As I doubt you have multiple department access your file and you want different rows to be displayed depending on their dept???
