How to create entries that rise to the top and drop lowest off the bottom?

Funny description I know, but I've been thinking about this for a while!

The spreadsheet is designed to track communication, like a CRM. But instead of tracking every instance of communication with a specific person, it just bumps that person to the top of the list. If there is communication with a new person then they are added to the top, and the list grows by one. The list will be limited in size, say 100 entries, and the person on the bottom will eventually get bumped off.

I've attached an example of the layout I've been working with. Currently I just insert a row at the top and add the name + comments. If it is somebody that was previously listed, I delete the previous entry, and update the "No." column which specifies how many times we've spoke.

Is there a way to set up the sheet to do what I want?

That's a lot of manual work for you to carry out. It is more usual to add data at the bottom of the list, so that it can grow as required. If you were to use this approach on a Data_Entry sheet, then you could still see the data in the order that you require on a different sheet, making use of the INDEX function to display the latest-100 entries in reverse date order.

If you want to see this approach in action, then attach a sample Excel workbook - details of how to do this are given in the yellow banner at the top of the screen.

You should also update your profile to show which version of Excel you are using, as certain functions may not be available to you.

    Hope this helps.

    Thanks Pete,

It IS a lot of manual work, which is why I'm looking for a solution. The reason I want the most recent at the top is so that my most valuable contacts rise up, while the others slip down the list.

I'll try the Index approach before uploading anything

And don't forget to update your profile with your version of Excel and your location.
