    Block booking on a Calendar

    Hi all,

I'm trying to make a calendar in my workplace for Managers to use to keep an eye on staff holidays and important dates (attached).

The biggest struggle I'm having so far is the vast majority of people will book off a week or two at a time rather than individual days. With the document as it currently stands that means if three people wanted to book a week off at the same time then it would take 21 different lines of data to have the Calendar show that.

Is there anyway it's possible to put a block set of dates in, for example, 01/01/2021-07/01/2021. So that it only takes up one line, rather than 7? I would still need it to colour code as it currently does.

Any light anyone can shed would be greatly appreciated.

I apologise in advance is there is already a thread dedicated to this, but i barely knew how to describe it myself.

    Thanks in advance.
    Dan.

Re: Block booking on a Calendar

I have devised calendar files in the past where I have up to 7, or 10, or even more, simultaneous events on any one day, but this obviously calls for a different layout than the type in your file. I generally display a full month (up to 6 weeks, or 5 if "orphan" days are shown in the top row of each month), where each week occupies 8 (or 11) rows, and have a drop-down where the User can select the month (and year), and the display automatically adjusts. Data is taken from a table of "events" (title, date etc.) and placed on the calendar as appropriate. In order to cope with date ranges, another table automatically expands the raw data to have one record per day, and it is this table which supplies the data for the calendar.

This would look quite different to your file, but I can give you several examples if you wish to pursue this approach further (or you could search the forum for them).

    Hope this helps.

    Pete

    Hi Pete,

Thank you for such a speedy reply.

It would be great to see some examples of what you mean if you don't mind?

    Thanks for your help.

OK, I'll get back to you later, probably after MOTD.

    Hi Dan,

There is a Leave Calendar of mine in this thread from a couple of years ago:

    https://www.excelforum.com/excel-gen...-calendar.html

See if that is suitable, and get back to me.

    Hope this helps.
