    Trying to have a drop down menu selection bring up information.

    Hi guys,

    So i'm sort of trying to create a shipping list. I have a long list of equipment, and based on what specific site it is will depend on what equipment is required. Some of the equipment is shared amongst all sites, some will be site specific. There are 7 different site options to choose from and a full list of equipment which is approx 37 line items, but would include part name, part code and customer part code. (3 columns)

    Thinking about it, the equipment info etc can be fixed actually, what i would need to change based on the option selected would be the quantity of each item. So could be anywhere from 0 to 10.

    Can someone please help? I feel like its obvious and im being stupid!

    Please upload a workbook or a representative cut down copy, anonymised if necessary. It is always easier to advise if we can see your request in its context.

    Show a before and after situation with manually calculated results, explaining which information is data and which is results, and if it's not blindingly obvious how you have arrived at your results some explanatory notes as well.

    To upload a file click the Go Advanced button at the foot of your post, look underneath the post area for the Manage Attachments section and take it from there.

    Make your layout more conducive to data handling - get rid of merged cells and split lines in the data table - leave graphics to a template page if you need to print reports.
    The attached table is more like the format you would need if you want to data handle without resorting to complex formula.

    Thats fine but i need to be able to change the row 1 header (ILAx1, ILAx2, ROADMx1, ROADMx2, COADMx1, DGE, COADMx6) and it bring up the correct information in the table below. So a total of 20-30 columns, a drop down menu in row 1 and then it updates the table, so for instance, 1st column (Column F in the spreadsheet) would be ROADMx1, G would be COADMx1, H-M would be ILAx1, N would be DGE, O-T would be ILAx1 etc.

    I am rarely confused, but today must be my off day, I have read the thread several times referring to your workbook.
    Can you expand with a few examples of what outcome you expect and the method of producing it.

    Sorry Torachan im obviously not explaining it very well. If you check the template you updated, its a table of info. What i need is for each of those headers to be a drop down menu, and depending on which option i pick it will update rows 2-38 with the corresponding info for that selection.

    For instance, if i select COADMx6 on the drop down, the cells beneath it will populate with that sites info, so row 23 for instance will be quantity 6. And depending on the project depends on how many sites i have, so id like to have say 30 columns total where i can edit the site type. I presume id also need an "Empty" header so that all of the values were zero? So that if i only have 6 sites, it only counts the 6 sites, i dont have 30 sites all being counted

    So i can add the drop down menu bit thats not the issue, the problem is the rest of the table being updated accordingly.

    I need to understand things clearly, I do not get the purpose when the data is already on the sheet
    I am obviously missing something obvious.

    Hi Torachan, of course the data is on the sheet, thats always the case with excel! The trick is to get Excel to do the hardwork for you! :-D

    So hopefully this final explanation works! If not i also give up

    So i want to open the doc, and all sites be blank, with 0 entries. Then i want a drop down menu for the site type (Which is ILA/ROADM/COADM etc) The key part, is i want the table quantities to update based on which option i select with the drop down menu. So i can obviously create a drop down menu for the site types, that isnt an issue, the problem is the table below it doesnt update accordingly.

    The the total column will total everything up so i have a full amount of whats shipping, but i also have it on a per site basis as well?

    I do have a modest understanding of Excel and its applications.
    However I am failing to see where you are getting the quantities from to update your sheet.
    As I do not posses a crystal ball I must regrettably forgo this challenge due to my failing abilities.

    Hi,

    I agree with Torachan

    It's not clear (at least to me) what it is you're trying to achieve. We always prefer to see a before and after position along with the clear rules you have used t0 get from one to the other. Essentially your data should be in a regularised two dimensional table, with columns for each UNIQUE type of information (and I mean type, not a specific value) and rows for individual records. Once that's in place then the world's your lobster and you can analyse/report/summarise with a Pivot Table.

    Therefore upload your workbook (or at least a cut down copy), and manually add the results you expect to see. Clearly identify which is original data and which are the results and in a note clearly explain how you have arrived at your results.

    Remember that when you ask a question in a forum those of us who might be able to help know absolutely nothing about your system and work process or the terminology you use. Unless you have uploaded a workbook we know nothing about how it is laid out and little about what you want done with it or how the results should be presented.

    Whilst these things are second nature to you since you live with the workbook all the working day we start with zero knowledge so you need to take us by the hand and explain in quite precise detail your aims and goals as well as stuff like how your data might look different in other situations.
    Don't assume we are able to "figure it out". We're usually quite good but not psychic.

    Put yourself in our position and think about whether what you've posted makes sense and is unambiguous to someone who's never seen it before. You are asking us for help so help us to be able to help you by providing all the information we need, even if that information seems obvious or intuitive to you.

    Crystal ball not required, just not a negative attitude.

    The quantities are fixed based on what type of site it is.

    So i need the drop down menu to let me select the type of site it is, then the rows underneath it to update accordingly. So A2-E39 for instance in this example are fixed. F3-AE39 quantities would change based on whatever was selected in F2-AE2.

    Hi Richard, i thought i had already shared the required screenshots and work book so apologies.

    Yesterday, 12:28 PM screenshot shows the complete "info table" as ill call it, which has each possible "site type" with the corresponding quantities underneath. This is the baseline.

    I then want to have the spreadsheet be like the first screenshot i shared Today, 10:55 AM...where i have approx 26 sites, all set to n/a which returns basically an empty table.

    I then change F2 to be ILAx1 site, and the column below it updates with the correct info (From original screenshot sent yesterday at 12:28 - so there are 8 different states possible for each column.

    n/a
    ILAx1
    ILAx2
    ROADMx1
    ROADMx2
    COADMx1
    DGE
    COADMx6

    Then i go along populating it as required for my project, could be 2 sites, could be 20. But depending on what i select in F2-AE2 will change whats shown in F3-AE39 for instance.

    Hopefully that makes a bit more sense?

    I'll take a stab at trying to figure this out.
    On Sheet1 are a list of sites in column A and a table of values in columns C:K
    On the Summary sheet row 3 is populated using drop downs linked to the list.
    Cells D6:J51 are populated using: =IF(OR(D$3="n/a",$B6=""),"",INDEX(Sheet1!$E$6:$K$50,MATCH($B6,Sheet1!$C$6:$C$50,0),MATCH(D$3,Sheet1!$E$2:$K$2,0)))

    We have a winner!!!! Thanks JeteMc!! Thats 90% of it so thanks a million.

    Now that i have a drop down menu per column, i dont need a quantity column above it or a multipler against that quantity in the totals column but other than that its exactly what i wanted. Thanks again
