Combining multiple mailmerge recipients to one

    Hi,

I have an excel sheet which is used for mail merge
One of the columns in the sheet contain email adresses. but it contains many of the same email adresses, therefore the same person is going to receive an email for each row she/he is represented in the excel sheet.

I would like to send only one mail to each person containing a table with all the rows combined, so each person only received one mail, but with all the information in the rows that belong to that person.

The data is not a kind of data, where you can make a "sumif" formula and combine it with the email adress being the combining factor, it has to be a table of some kind, where each row is entered in the mail.

Thank you in advance for your help.

How does your mail-merge know which bits of which lines to include for a multiple data set? Surely any records with duplicate emails must contain different information elsewhere in the record, otherwise you could just take a unique list?

A little clarification on my issue

    Hi,

Thanks for your reply. To be more accurate, I have attached a very small example of what I would like to do.

In the example an employee has registered 5 hours, but was supposed to register 10. Another employee has registered 6 hous, but was also supposed to register 10. Both employees have the same "Department Responsible", who is the person, who should receive the mail.

With my current setup I would send two mail with a lot of text and linking to the numbers regarding time registration. I would like to send one mail and have the two rows from excel inserted in that mail.

As I might be sending out to hundreds of people, it is not really an option to sort on the emails of the "Department Responsibles" and copy paste manually.

    I hope this clarifies.

Well I would recommend running a pivot table to group the relevant entries, but I'm afraid I don't have enough experience with mail merge for the second part.

    Sorry
