Creating a rolling percentage based on a text field

Ok so ive had my 4 hours sleep that was disturbed by thoughts of what else i can do with excel after my last 2 threads

and now i have a wonderful spreadsheet that does almost everything i want see the worksheet attached

my next question is how do i generate staff numbers based on their "Unit" (ie i want to know how many people in the "administration" unit or in the "medical" unit and have that on the Reports worksheet from which i can work out percentages of staff that have their training needs up to date and such
