Question Link a cell to a Visio drawing (box)

    Hi:
I have a spreadsheet of data of what items I have in a warehouse. Column A is the Location for each item, and Column B is the Item. I have a Visio drawing which is the warehouse layout with showing the Location and the Item in each drawing box. Is there a way I can link the Excel cell to the Visio drawing (I know there is a way to create an org chart from Excel), but this is different as it is from Excel to Visio and not Visio to Excel.
I have Excel and Visio 2007.
In your reply please be very detailed.
    Thank you.

I don't have 2007, but I think the steps should be very close. This will at least give you an idea of where to start.
    1. In Excel, select the cell you want to be linked to Visio.
    2. Ctrl+C to copy the cell
    3. In Visio, use the Paste drop-down menu to select Paste Special
    4. You are looking for Paste link. In 2010, there are 2 radio buttons on the left side of the Paste Special dialog. One is Paste: and gives you several unlinked options, the other Paste link:. Select Paste link: and you should see an option like "Microsoft Excel Worksheeet". Select that and click OK.

Changing the cell in Excel changes the cell in Visio, which can be used like a text box (formatting and linking to other diagram objects). If you want to format the contents of the cell, change the formatting of the cell in Excel to see the results (bold, font size, etc.).

    Hope that helps!

Re: Link a cell to a Visio drawing (box)

Thank you. I tried the steps and this is what happens - the hyperlink is active only in Visio. By this I mean that if i double click the box in Visio it opens up the Excel workbook and the cursor is in the hyperlinked cell. This is great for Visio and will help for quick to Excel from Visio. Since I will be in the Excel workbook and want to be able to see where that location (the data in the cells) is on the Visio chart, is there any way I link the Visio box to the Excel cell? By this I mean if I click the cell in Excel, I would like it to open to the exact location box in Visio.

I've done some searching but haven't come up with a way to accomplish it. You can name a shape in Excel, which gives the shape (including a linked Excel cell) a sub-address for hyperlinking. This allows you to link shapes within Visio.

It is easy to link from Excel to Visio, but only to a document, not down to a specific shape; I can't seem to get Excel to recognize a sub-address. The only option in Excel in the hyperlink dialog is to look at bookmarks in a document, which are available in Word, but not Visio.

Maybe someone else knows of a way? Otherwise, you could try just including the Excel workbook directly in your Visio diagram by embedding it. It might be a viable alternative. See Microsoft support for a starting place.

Thank you for trying. I will experiment with the naming the cells. I really appreciate your help and am sure you or someone else will come up with a solution.
