Post a sample workbook, showing examples of what you have and what you want to achieve from that data - the FAQ describes how to attach a workbook to one of your posts.

I am posting two files 'textfilefromocr.doc' is the form of data I got from OCR, then I copy paste that data into excel worksheet named 'rawdata' and created another worksheet named 'requiredform'well that is the eventual form, from there I would export that tabular form as it is, to ms-word
Any swift way to do this thing kindly suggest I am waiting.....

What are you doing? Scanning the telephone directory?

You can see that the quality of your OCR output is very variable, and the way the data is laid out in the directory is also variable, so I can't think of any simple way of getting it into the format you require.

There are companies that sell databases of names and contact details - perhaps it would be cheaper in the long run to buy some names (don't cold-call me, though !!)

    Hope this helps.

Contact the publishers of the directory. You may be able to obtain an electronic copy which would be better to work with.

Also, what OCR are you using? Some are better than others at creating useable output.
