    Red face Excel spreadsheet to produce a report per row

    Hi - does anyone know if there is a way to produce a report per row of an excel spreadsheet. For example if my spreadsheet contains the names of 10 people in column one and lots of columns of data per person. Is there an easy way for me to pull all that data to produce a one page report for each person listed with the data within it?

    Please post an example of what you are trying to achieve.

    Are you comfortable with a macro solution?

    Hi David - I am happy with any easy solution to this problem. I am not at all familiar with macros (and not at all an expert on Excel) but if they would be the answer then that is fine. I have attached a rough example - there would be quite a lot of different data types added to the main spreadsheet.

    Instead of a picture in Word, can you attach the Excel Workbook please?

    It will be a lot easier to work with!

    Thank you - I am not sure how this would produce a single report per person on the spreadsheet though? Can you advise?

    Hi bankcott,

    This is what I would do:

    bankcott - transpose data.xlsx

    The name box has a simple Data Validation drop down box, and the cells are using VLOOKUP!

    I also attached a sheet using TRANSPOSE (from the Paste Special options). This almost gives you what you want, but not as good as the VLOOKUP solution.

    Thank you David - I can see how this will reverse the information. Do you know then after this if there is a way however of really easily and simply saving each persons information as a separate sheet so that it can be attached to a file on their own record in a separate system? Thank you.

    Hi bankcott,

    It is easy with Excel 2010!

    Simply move the table I created at A13:C21 to another sheet. (YOu will have to change the dropdown so that it looks at a named range instead of A3:A8).

    Then file save as and give it a name, and in the Save as type box scroll all the way down near the bottom of the drop down where you will find PDF. Select this, and click save. You will see the PDF version.

    Thanks David - that will create a pdf though with all the names of all those listed I think?

    Perhaps I am asking for the impossible but I need to be able to produce one sheet per person with just that person's details on it. I need to then be able to easily pick up the file for each person created to attach to a record on the computer.

    Hi bankcott,
    I think I should have attached an example, as my suggestion seems to have mislead you.

    bankcott - transpose data (2).xlsx

    In this file, I have moved the Per Person list to another sheet.

    You can click in the shaded cell, and you have a dropdown list of the names on Sheet1.

    Select the name you want, and hey presto, you have the individual data you need - then just save it as a PDF file!

    Note: The dropdown uses a named range. If you don't know about these, follow this link - I find Debra Dalgleish very helpful:

    Pretty easy to do using a mailmerge from Word ... No need to make any changes to the workbook. See attached. Open the document then, from the Mailings Tab in Word, use 'Select Redciients>Use Existing List' to select your workbook, then the worksheet. Finally, click on 'Finish & Merge>Edit Individual Documents'.
