    Data Validation Basics

    Hello

    Is it possible to add data validation from a list that will apply a colour to a cell too?

    I have a RAG status column and currently it looks at cells listed on my data sheet.
    It successfully gives the list: Red, Amber, Green but I'd like it to pick up the colour that I've used for each on my data sheet too.
    Can anyone help me please? Thanks IC x

    Yes < see how you can do this.

    Select the cell(s) you want to create a rule for.

    Select Data >Data Validation.

    Data Validation

    On the Settings tab, under Allow, select an option:

    Whole Number - to restrict the cell to accept only whole numbers.

    Decimal - to restrict the cell to accept only decimal numbers.

    List - to pick data from the drop-down list.

    Date - to restrict the cell to accept only date.

    Time - to restrict the cell to accept only time.

    Text Length - to restrict the length of the text.

    Custom – for custom formula.

    Under Data, select a condition:

    between

    not between

    equal to

    not equal to

    greater than

    less than

    greater than or equal to

    less than or equal to

    On the Settings tab, under Allow, select an option:

    Set the other required values, based on what you chose for Allow and Data. For example, if you select between, then select the Minimum: and Maximum: values for the cell(s).

    Select the Ignore blank checkbox if you want to ignore blank spaces.

    If you want to add a Title and message for your rule, select the Input Message tab, and then type a title and input message.

    Select the Show input message when cell is selected checkbox to display the message when the user selects or hovers over the selected cell(s).

    Select OK.

    Thanks contactforinfo the list itself is fine, it's the colour it's not picking up. Any thoughts on how to do that?

    Will you please attach a SMALL sample Excel workbook (10-20 rows of data is usually enough)? However, please give us an indication of the approximate number of rows of data you want the solution to work with (100, 1000, 100,000 or whatever). Please don't attach a picture of an Excel sheet (no-one will want to re-type all your stuff before starting).

    1. Make sure that your sample data are truly REPRESENTATIVE of your real data. The use of unrepresentative data is very frustrating and can lead to long delays in reaching a solution.

    2. Make sure that your desired solution is also shown (mock up the results manually).

    3. Make sure that all confidential information is removed first!!

    4. Try to avoid using merged cells. They cause lots of problems!

    Unfortunately the attachment icon doesn't work at the moment. So, to attach an Excel file you have to do the following: Just before posting, scroll down to Go Advanced and then scroll down to Manage Attachments. Now follow the instructions at the top of that screen.

    Hi Glenn thanks so much for your response. I've managed to get it to look how I want to by also using conditional formatting on the cells in question so they now look pretty
