Trying to use automatic numbering but Excel has doubled the number of pages!

    Hello,

My document has 101 pages and I want to insert page numbering in the footer. For some reason Excel tells me I have 197 pages. I have tidied up the text and shortened lines if they are going over the RHS, or have widened the page so there is now no overlapping, but still I have 197 pages.

I have Googled and followed suggestions for stopping printing extra pages but can't seem to sort this problem. The document has 3 columns - A/B/C so I have highlighted columns D - H then deleted them but still no joy. In Page Break Preview, Page 101 is indeed the last page but then Page 102 appears to the right of the first page (I have to scroll along). I've also tried Page Set Up/Page/ then under Scaling Fit to....... One page wide and 101 pages tall but this just changes the % normal size. I've tried (almost) everything.

    Any suggestions please?

without concrete example we have to take your word..... I would switch to Page Layout mode and see the different pages. Perhaps there's a hidden range? Who knows all the possibilities, certainly not Me! If you really wish assistance, upload your file as we recommend in RULES.
Also, Try copying VISIBLE cells to a new sheet and see what you got.

    Thanks Queuesef,

Yup - I've also tried copying the visible text to a new document but still get a silly number of pages.

Why is there such a difference between Page Layout View and Page Break Preview? There's almost a centimetre of difference
    in the length of line.

Please direct me to RULES as I'm new here.

About the 5th tab - is RULES. If you can upload your example file, we can possibly help you a bit better. (I believe that the GO ADVANCED Button, will allow you to select your file. (It may be helpful to 'Scrub' your worksheet 1st - File / Info / Inspect Workbook - to remove most of the personal info IF you desire.....Best of luck. This is a great Forum!! Cheers

Hi Heidiholly and welcome to ExcelForum,

Make a copy of your document and shorten the copied document to 3 or 4 pages (just because it is easier to work with). Your file will probably think it has more than the 3 or 4 pages.

Excel Page Numbering can be very frustrating. It is controlled by one or more of the following:
    a. Print ZOOM % (a number between 10 and 400)
    b. Number of Pages wide
    c. Number of Pages tall
    d. Margins
    e. Footer Margins
    f. Automatic and Manual Page Breaks

Without seeing a sample file, I can only guess how to proceed.

Go to 'Page Break Preview'. Assuming you have one large vertical document:
    a. If you see a vertical dotted line, you have automatic vertical page breaks, which means your document is too wide.
    b. Change the scaling to 'Fit all Columns on 1 Page' to see if that helps
    c. If that does not work, try 'Page Setup' > Page > adjust the % to 50% to see if that works. If it does, keep adjusting the % up until you go too far.

If you need additional help, please upload a sample workbook.

Please attach a sample workbook (not a picture or pasted copy). Make sure there is just enough data to demonstrate your need. Include a BEFORE sheet and an AFTER sheet in the workbook if needed to show the process you're trying to complete or automate. Make sure your desired results are shown, mock them up manually if necessary.

    Remember to desensitize the data.

Click on GO ADVANCED and then scroll down to Manage Attachments to open the upload window.

Re: Trying to use automatic numbering but Excel has doubled the number of pages!

    Hello Lewis,

Thanks for taking the time to help me.
I've reduced the document to 3 pages but page 4 is blank and appearing to the right of page one in Page Break View.

So I have a dotted line between page 1 and page 4. From what you say, this would mean that my lines are too long but there is no overlapping word that I can see. I have tried shortening a few more but it's still the same - still got a page 4.

I'm trying to find "Fit all Columns on 1 Page"........... I have got a Scaling box with "Fit to x Pages wide by x Tall"

Can you tell me what to change now please? before I try your next suggestion.

Incidentally, the document is Landscape......... column A contains a number, column B is just a spacer and column C is the rest of the width of the page.

    Hi Ann,

I've reduced the document to 3 pages but page 4 is blank and appearing to the right of page one in Page Break View.
This sounds like Pages 1 - 3 are exactly they way you want, but there is an extra page 4. Download the attached sample file which exhibits the same symptoms.

You probably have 'rogue data' in a column to the right of 'Column C'. The 'rogue data' may even be a Space which you won't be able to see.

The easiest way to fix this is to go to 'Page Break Preview' and move the Solid Blue Vertical Line to the left on top of the Dotted Blue Line.

Additionally, if you can find and remove the 'Rogue Data' (just delete or Clear columns D-F), the Solid Blue Vertical Line may move on its own to where it is supposed to be.

    ---------------------------------------
I'm trying to find "Fit all Columns on 1 Page"........... I have got a Scaling box with "Fit to x Pages wide by x Tall"
File > Print > Select the Bottom Box

    Choices should be:
    a. No Scaling
    b. Fit Sheet on One Page
    c. Fit All Columns on One Page
    d. Fit All Rows on One Page
    e. Custom Scaling Options ...

    I hope this helps.

    Hi Lewis,

Sorry - thought I had responded to this...... I've found the "Fit all columns on one page". If I click on this, can I undo it if it messes up?

OK - I've tried this on a copy but the text is only covering about 5/8ths of the width of the page.

I've actually found a way around this but not solving the problem......... I'm just putting in page numbers rather than "page x of y", so there is no total number of pages.

    Thanks for your help Lewis!

    Hi Ann,

I am happy to help. I'm glad you found a solution, even if it was less than optimal.

I've found the "Fit all columns on one page". If I click on this, can I undo it if it messes up?
    a. You should always have a backup copy of your file in case disaster strikes - no matter what you are doing.
You make a new backup copy as often as necessary, depending on how many changes you are willing to lose.

    ----------------------
OK - I've tried this on a copy but the text is only covering about 5/8ths of the width of the page.
Sounds like you have extra columns that are included in the print area.

    ----------------------

    Good luck.
