# Help with"IF" "THEN"

1. ## Help with"IF" "THEN"

Hi All,

I run small Guest House in the Highlands of Scotland. I have put together a simple Excel spreadsheet showing "Guests" "Occupancy" "Total Cost" "Deposit" and "Final Balance". This all tots up and shows total income for that day then total income for the month.

We almost never take deposits now, due to credit cards, so the "Dep." column is now redundant. However, we have this year taken on Booking.com and they take 15% commission for their bookings.

What I'd like to do is use the "Dep." column to show their commission in the form of figures. Then do a final tally of their commission for the month. The colour is just to let me quickly see Booking.com bookings.

I have attached February this year showing what I've done, which is very cumbersome. I've spent ages trying to figure out what I could do to make it more efficient, but got nowhere.

Any help would be most appreciated.

John.

I am not exactly sure what it is that is the problem. Can you re-iterate what exactly you need help with?

3. ## Re: Help with I think "IF" "THEN"

I'm not exactly sure it's a problem just a way of making use of the speadsheet more efficiently. For every booking that comes in from Booking.com I have to input the calculation manually. For example: see February 20th - Paul (Cell F22) I insert =PRODUCT(E22,0.15) in the Dep. column. I just wonder if there is any way to do this in the range (F3:F30) as the calculation, using the figures in (E3:E30), the Russwood and Marion entries above weren't through Booking.com. The total calculation in made in cell ("ST"34).

You'll need to add a column that the formula can refer to, to see if it's a Booking.com calculation. Insert a column in front of "Dep" into which you will put an X if it's a Booking.com booking. In F3(now G3 since you inserted a column) you'd use an equation like this

=IF(F3="X",E3*0.15, "")
You don't need to use PRODUCT (although you could)
Does that help?

EDIT: I also put in conditional formatting so that the Comm cell will turn blue if it's got a value > 0. See attached.

That's fantastic! Thank you very much. Much more than I expected. One small thing, just in case, how would I change the colour of the cell to light blue. I've got old eyes

Hi John,

The rest of this is quite a learning experience (thanks ChemistB for the awesome job!). But, to change the font color settings from what he has, all you have to do is:

Select the block/s (you want to change the font of), click on Format -> Conditional Formatting
Then, click on Format -> Patterns tab, then select color you wish to change it to.

Or, if you want to change the font color, you just stay in the Font tab, and select the color you wish to use. In this case, an option might be to select the font color as white, and keep it as bold, or to select the pattern color to a lighter color. Either way, that's how you change it, and it's up to your choosing.

Glad I could help. Apelcius's instructions are correct for conditional formatting.

8. ## Re: Help with I think "IF" "THEN"

OK. I'm on the floor hailing the Gurus. Thank you so much for all your help.

If any of you are in Bonnie Scotland for a holiday I'll treat you to a free night @ Eagle View Guest House!!

Cheers,

John.

Does that include me, since I did nothing but I am involved in the thread?
