Pull data from Excel into a formatted word Doc, Is it possible?

    Good Morning everyone,

My name is Robert, and have a particular problem dealing with pulling a set of data into a word document that is formatted specifically to be printed onto labels for my work.

I Work for the Government, and one of my more time consuming task includes pulling parts for aircraft that are going through preventative maintenance inspections. This can included kits that are as small as a few pieces or as large as hundreds of individual parts. The problem is I have to manually take information from a row in Excel and hand type it into a word document that is formatted to included all the information that will fit on a pre-cut sheet of stickers.

I am very new to this, and have tried just searching forums and the internet, but have not found anything specifically like what I am trying to do. I have included the two documents that I would be using to accomplish this.

Any and all help would be much appreciated. And it would save your government many hours of labor, not to mention the headache it causes me hand entering all the information.

    thanks -Robert

I recommend using mail merge to do this..I'm not a pro at it but I will have a go at it! What label size are you using?

Thank you, I will check mail merge out also, at first glance, it seems its more for Addresses and whatnot, but I will play with it more. As for the labels, I am using Avery 55163 2" x 4" labels.

Also, just to add more clarification, I want to pull the specific data i.e. Part Number, work card, etc. from the excel row to put it each on its own label. Basically, I want to fill out the label sections from the sections in excel. And also, the layout of the Labels is not set in stone, if i need to adjust it's format a little that is fine, as long as the information is all still displayed in an orderly manner.

This is all possible, However I am struggling to match up the columns with the information on the label if you could help me out with that bit by just uploading a spreadsheet and document with 1 single labels information on. Thanks

Do you need documents different than what I have uploaded? or do you mean the same word and excel doc with just information for 1 part and 1 lable?

The information in the spreadsheet does not in anyway relate to what is on the label which is what I need so that I can match them up.

They might be a little different, I will try to correlate what section goes to what.

the N number is the aircraft tail number, so for this it would be N79 should be N-11
Item number is just as it says on both, item #1
Part number is the part number on excel, so it should be 3033355 on the label.
QTY, should be what is under QTY Req sec in excel.
Task should be the Task Card Number on excel, K.4, O.4
INSP: this is the name of the check it is in, in the excel document it is towards the top middle area and labeled Requirement:

With that said, the most important sections I am looking to populate on the label from the excel doc, are P/N (part Number), QTY: (Qty Req.), Task: (Task Card Number), WORK NOTICE: (Work Notice), INSP (requirement)

The sections in parenthesis are what the label is referring to on the excel document.

This looks confusing, I apologize, for the rambling.

It would be ideal if you could edit the spreadsheet so that the headings are in row 1 (such as item number part number etc) and then the rows below have each individual record. It would make it a lot easier for yourself to edit the format later also.

EDIT: Forget that, I have noticed a way around it by naming the range of the data.

I've done quite a lot of this, when you save it you will have to select the data source (Spreadsheet) yourself but the rest should work when you preview the mail merge. There are certain bits which were difficult to do because they were not part of the data table (In columns). However if you edit the first label then the rest should do that automatically. Hope this has helped!

Ok, good, because the excel sheet is actually created by a different section, they use the format that they need and would not be able to manipulate it without an act of congress (government joke).
