but iam trying to describe my problem with minimum words and hitting the goal
i have workbook contains two sheet 1st one is database , 2nd one is analysis sheet with criteria's to extract data from the database sheet

Hello Wega and Welcome to Excel Forum.
Perhaps this formula based proposal will work:
1) Paste the following formula into cell B12:Formula:Please Login or Register to view this content.
2) Set the desired formatting for each column,
3) Apply conditional formatting to the TAG and REF columns so that zeros are hidden by setting the font color to white.
As per Ben's comment #1 I am attaching the copy of the file as an .xlsx extension.
