    Excel spreadsheet/database/mail merge and pop ups to notify of flagged content

    Hi again

    My client is a chimney sweep and I take his bookings at my answering service using a spreadsheet. I send the following day's worksheets each night (copied and pasted into a new work book and sent as an email attachment) and he has a mail merge programme on his computer which allows him to send letters to the database of customers and also to print out his receipts for the next day from the fields in the work book.

    We'd like to know how we can have a flag pop up that let's us know which customers were repeat no-shows or non-payers so that next year I don't book them.

    Can you help us with this?

    Is this an Access or Excel issue that you are dealing with?

    Yes, we're using excel as described. Can we have some kind of app so that when I start to add details in our spreadsheet of an unwanted booking there's a pop up or similar to advise?

    without seeing what the data looks like, its almost impossible to suggest anything, but have you tried looking at conditional formatting for this? It will high-light/color specified cells based on pre-defined criteria

    See what you can come up with using this, and if you still have a problem, i would suggest you upload a sample work book, (all sensitive data removed), showing what data you are working with, a few examples of what your expected outcome is, and how you arrived at that
    To attach a file to your post,
    click advanced (next to quick post),
    scroll down until you see "manage file",
    click that and select "add files" (top right corner).
    click "select files" find your file, click "open" click "upload" click 'done" bottom right. click "submit reply"

    Once the upload is completed the file name will appear below the input boxes in this window.
    You can then close the window to return to the new post screen.

    I've attached the work book and you will see what data I enter as I take bookings.

    What we'd like to achieve is to have a flag appear when the client from hell's details begin to appear so that I can see that we shouldn't continue with this booking. Probably on entering the address I would think.

    Thanks for the file. Where would I find this paragon of virtue on all that?

    a suggestion...

    put the...Time Booked...Date...First Name...Surname...Address...Suburb...Post Code...Ph #...Comments headings at the top of the sheet, and then use view tab/window.freeze panes, this will eliminate the need to keep entering the headings. Once you have done that, you can highlight the entire range (use ctrl end home), then apply filters - filter on "time booked" and then delete all the remaining rows

    If you mean by 'paragon of virtue' the client from hell, then it could be any one of these esteemed clients.

    The reason the headings are listed on each area is that I copy and paste each day and email to my client who then needs those headings to print his receipts in the right field of whatever programme he is using to do that.

    We were just hoping to find a way in the full spreadsheet that I book on to have last year's clients from hell flagged as soon as I enter the information in the booking sheet that identifies them.

    OK I understand the repeated headings, but that could still be done with filters...but ok

    back to your question....how do I identify which clients you want to high-light? can you reference a few for me?

    Just pick anyone and nominate them as the client we want to know not to book. There aren't any real ratbags in there - that we know of...yet. That is the current book and we don't have a database of horrors from previous years because our sweep can't remember who they are among the thousands he does each year and hasn't kept a list. He realises once he arrives at an address. That's what we're trying to achieve now if we can figure out how to do it.

    Filters later with the headings maybe, single syllables too with me, I'm a luddite. Thank you in advance for your forbearance

    Call me stupid but how about just another column called FLAKE and if someone is a repeat no-shows or non-payers you put an X in the FLAKE column then just before sending the list you run a macro that hides everyone with the FLAKE flag set. Of course if you do it by address you run the risk of a FLAKE moving and a new resident getting branded the FLAKE. You may want to run it off name or phone number.

    OK well if you have nothing to show that yet, how about if you add a column where you can include a comment like "non-payment" or "dont book again" (you choose, it will just be a comment we can use for ID purposes.

    Im thinking that we can then use something like this in conditional formatting...

    =AND(COUNTIF($C:$C,$C3)>1,COUNTIF($D:$D,$D3)>1,$J3="Bad")

    Thanks Manny, but how do we make it retrospective? We don't know until the client turns out to be a problem if they're going to be a problem either. Some are repeat offenders but others are new offenders.
