i am having data of 30 offices, column b is office name,c is customer name, column j is outstandings. i want that after each office name,a row is added in this row the no of customers and there outstanding is totalled.

Have look at the SUBTOTAL function. If you do this for each break in the Office, and apply sum to both the Customers and Outstandings, then replace "(9" with "(3" in the customer name column, it should do the trick.

but for that ihave to go to each row and replace 9 with 3.

You could highlight the column and do an edit / replace. Unless that string is in the customer name for some odd reason, then it will replace all the formulas.
