Part of my job is to consolidate reports sent by other people in the company. I have a common mailbox set up for this purpose and use Outlook filter rules to sort them out into project folders, each directly under the common mailbox folder Inbox. This common mailbox is "below the fold" on my Outlook screen, so it is inconvenient to scroll down to check them constantly. Furthermore, in some cases, I have to wait for more than one person to send a report to me and can't process a report until the whole set has come in.
So I developed a program to check these folders for me and send me a message with how many items are in each folder every 15 minutes. If there is nothing to report, then no message is sent. It makes the mailbox a bit busy in the morning as people start sending things in, but pays big dividends when that one report I expected in the morning doesn't come in until mid-afternoon. I'm not checking for it all day and I am alerted as soon as it comes in.
It also serves as "nagware" to let me know I still have reports that need to be attended to.
The attached archive has three files:
- A text file to copy and paste into the ThisOutlookSession Module
- A text file to copy and paste into a regular module
- A Word Document with configuration instructions
The program should be installable and configurable by people with basic VB skills.
