This is a beta version of a Time Card system.
There are two word documents in the ZIP file: Time Card Processing.docx is sort of like a reference document on how to configure the system. If you are willing to use some of the configurations I already have set up, then Time Card Narrative will get you up and running more quickly.
Here is a brief description of the program. The time card manager fills out the start of the time card period and clicks a button. Individualized time cards are created and mailed to each employee in the database.
When the employee fills out the time card and clicks the submit button, the time card is automatically mailed to a common Outlook mailbox.
A third piece reads the mail, downloads the time cards and appends the data to a centralized time card database. This database is in normalized format and can be reported using pivot tables.
This is the beta version. There is more work to be done.
- Add safeguards to keep end users from modifying parts of the time card other than projects and hours.
- Add a flag to prevent the same time card from being submitted multiple times.
- Include instructions to the administrator on how to correct time cards.
- Add a utility to look at the employees in the database and compare them to the emails submitted and give a report of who hasn’t submitted a time card yet. Add a nag button to send emails to these people
- Add a general “send a message to the troops” option so special announcements can be made such as “Due to the holiday, please submit time cards by …”
