    MS Word MailMerge data format

    I have a MailMerge Template that is being populated by data from RSA Archer (a GRC/Risk platform). One of the tables/fields structure is something like this:

    Field1:ApplicationName Field2: ImpactedProcesses Field3: ResponsiblePerson

    In the source data, the Application has it's own record and each Impacted Process has their own record. Then we have a table built that displays the Application and all the impacted processes. Listing them in a row makes our document extremely long. We want to concatenate the values and display them horizontally if possible.



    The ImpactedProcesses field can have multiple processes listed. So, something like this is displaying:


    Application Impacted Processes Responsible Person
    -----------------------------------------------------------------------------------
    MS Word Create Mail Merges Jasen Dill
    Create Training Manuals
    Create Knowledge Sessions

    MS Excel Create Spreadsheets Mark Cuban
    Create Pivot Tables for execs




    The Impacted Processes are listing in the MailMerge export in list format. I'm trying to find some way to list them horizontally and add comma's. I figured out how to add comma's using the text after box in Word... But I can't get the values to transpose. This is what I want:

    Application Impacted Processes Responsible Person
    -----------------------------------------------------------------------------------
    MS Word Create Mail Merges, Create
    Training Manuals, Create Jasen Dill
    Knowledge Sessions


    MS Excel Create Spreadsheets, Create
    Pivot Tables for exects Mark Cuban



    In the way I typed it up, it may not appear to save space, but with the real data I'm using, there is a tremendous space saving if I can get the one field (Impacted Processes) to display horizontally.

    Ugh... that came out ugly. Sorry, rookie mistake. I didn't realize how the data would format when I submitted my thread. I'll try and take pictures of the actual data/report I'm working with.

    Attaching a sample is better than pictures.

    Go Advanced -> Manage Attachments -> Upload

    Attached is my template. Impacted Processes field displays in a column list. I'm trying to get it to display horizontally (wrap). This is because we can have 60 or 70 process id's and the table grows and grows. I found out how to add a comma after each value, so if I can get it to transpose to a horizontal list, that would solve all life's problems :D

    The presence of field expressions like TableStart: and TableEnd: indicates that you're using a third-party product for the merge. Accordingly, what you can achieve for your table output is determined by what that product supports. What you may find you'll need to do is to run a macro post-execution on the output document so as to concatenate the relevant rows.

    You are correct. I am using a third party product called RSA Archer (a Risk platform solution). Unfortunately the table output that the product supports is exactly how it's displaying (in a vertical list) I was hoping that there was some sort of html code or transpose function within Word that could solve this.

    Thank you for the suggestion of a macro - post export. Unfortunately given the nature of the document and how it's shared, that won't work for us so we're just going to have to accept a more lengthy report than we are accustomed to.

    Thanks for the feedback! (and I've been diving into all your documentation on these forums - they're great. Thank you for all your contributions. They're really helping me step up my mail merge game!)
