Now i wanted to find a way to alert the user if the vendor name he is entering is already existing in the access database.

User enters data in a VBA form... this inturn saves the data to an access database..
In the table properties for the field, select the Indexed property and change it to "Yes, No duplicates." An error message will popup if the user tries to enter an existing Vendor Name. Be aware it will not kick out this type of example. ABC Co. if ABC Company is already in the table. It must be an exact duplicate.
