These are "bottom line" figures. There isn't a lot you can do with them.

I don't think the count of the number of people in each category is of immediate interest. So it's the number of years without promotion and the number of years to promotion that matter.

Attached is a simple chart that shows the average years with and without promotion.

But you can do more. I recommend a bit of "continuing education."

I assume that there is a list of employees somewhere from which these figures are generated. Given that what you have computed are averages, the best you can do is show if a particular employee is above or below the average. There is even a Conditional Format type to do this.

However, there are also additional conditional formats where you can have different color codes or icons to show lower 1/3, middle 1/3 and top 1/3. You can even specify the breakpoints: they do not have to be at the 1/3 points; you can customize them. Also you can do this on a percentile or "hard" number. Take a look at conditional formatting.

If you really want to get into doing the data properly, then I suggest you do some self-study on basic statistics - yes, you can find tutorials out there that go into calculus and explains the derivation of complex formulas and the various types of distributions that are guaranteed to spin the average person's head off.

Look for something simple and basic: there are three concepts you should learn: mean (or average), mode (what value happens most often) and median (at what point is half the people on one side of the value and half the people are on the other side of the value). Excel has formulas that handle these three concepts automatically so you don't have to do the math; all you need to know is what the numbers mean.

    Good luck with your work.

One spreadsheet to rule them all. One spreadsheet to find them. One spreadsheet to bring them all and at corporate, bind them.

A picture is worth a thousand words, but a sample spreadsheet is more likely to be worked on.
