    Giving text a numerical value

    Hi, Im looking for some help setting up a rota for my work. I am wanting to be able to select a name from a drop down list and then at the end show total hours worked. IS there a way that for example if i select 'DB' from the list i can get it to automatically recognize this would be a 6 hour shift. I have attached a sample showing what im looking to do.

    Try this array formula, in AG3, copied down:

    =IFERROR(SUMPRODUCT(IFERROR(LOOKUP(B3:AF3,'Shift times'!$A$2:$A$8,'Shift times'!$B$2:$B$8),0)),"")

    Array Formulae are a little different from ordinary formulae in that they MUST be confirmed in the FIRST CELL ONLY by pressing CTRL+SHIFT+ENTER to activate the array, not just ENTER. After that, the array can be dragged down as normal, to cover the desired range.

    You will know the array is active when you see curly brackets { } - or "curly braces" for those of you in the USA, or "flower brackets" for those of you in India - appear around the outside of your formula. If you do not use CTRL+SHIFT+ENTER you will (almost always) get an error message or an incorrect answer. Press F2 on that cell and try again.

    Don't type the curly brackets yourself - it won't work...

    Scratch that. You first need to sort the shift times alphabetically. Then it works...

    That's what the EF does... quick answers to clearly asked questions, backed up with a sample Excel sheet.

    It's a bit geeky.... but....
