    Exclamation Formulas in Filtered Spreadhseet

    I have a spreadsheet with 8,000 rows of data, there are formulas that relate to fields (example =T2+U4). When I filter this report to only show one employee, the formulas are still calculating based on the now filtered our rows. Is it possible for the formula to not include filtered rows?

    What formula??

    Will you please attach a SMALL sample Excel workbook (10-20 rows of data is usually enough)? However, please give us an indication of the approximate number of rows of data you want the solution to work with (100, 1000, 100,000 or whatever). Please don't attach a picture of an Excel sheet (no-one will want to re-type all your stuff before starting).

    1. It does NOT have to be your real sheet - mock up a SAMPLE if you need to. But not 1000's of rows!!! It makes manual checking so tedious. Whatever you do... make sure that all confidential information is removed first!!

    2. Make sure that your sample data are truly REPRESENTATIVE of your real data. The use of unrepresentative data is very frustrating and can lead to long delays in reaching a solution.

    3. Make sure that your desired solution is also shown (mock up the results manually).

    4. Try to avoid using merged cells. They cause lots of problems!

    Unfortunately the attachment icon doesn't work at the moment. So, to attach an Excel file you have to do the following: Just before posting, scroll down to Go Advanced and then scroll down to Manage Attachments. Now follow the instructions at the top of that screen.

    I've done that, but it still calculates based on the filtered out row.

    I recommend uploading a small representative sample of your data along with the desired results (which you can enter manually) based on that data.

    To upload an Excel workbook, follow these steps:
    1) Click on "Go Advanced"
    2) Click on "Manage Attachments"
    3) Click on "Choose File"
    4) Choose your file and click on "Open"
    5) Click on "Upload"
    6) Click on "Close this window"

    If you really can't find the "Go Advanced" button, you can use Ctrl F then search for it.

    No. That doesn't tell us anything. Forget about your real sheet. take a few minutes to create a dummy sheet showing what you want to do AND mock up (manually) your expected results.

    Pictures don't help us much. All that you have to do is create a small representative sample of your data in an Excel workbook showing us what you are looking to do with that data.

    Without that, I'm afraid that there isn't much we're going to be able to do.

    Starting at column U - when I filter say by name, the formula on the visible rows is still using the data from the hidden rows. I only want the formula to calculate based on the visible rows. The ultimate goal is to generate a schedule by person with accurate expectation dates.

    Can you give us an example?

    I'm looking for desired results (which you can enter manually) after filters are applied, not an explanation of what you want.

    For example, if you filter out all but Robin (in your sample workbook), what should the formulas show?

    Is there a way to renumber the rows when you apply a filter? For example, you have 10 rows of data, when you apply a filter you now have 4 rows, numbered (for example) 3, 4, 6, 10 due to the filter. But the formula is looking at rows that are now hidden. Therefore can the rows be renumbered when filtered so they are 1, 2, 3, etc.

    Sure. You could use something like this:

    =SUBTOTAL(102,A$2:A2)
    Where column A contains numbers.
