I'm an accountant who has just moved to a new company (new in that the company is new and has an underdeveloped accounts department) and I am responsible for the management of petty cash.
Unfortunately in the area of operation, there are two widely used currencies; USD and local.
Reporting requirements are in local currency so all transactions need to be converted from USD.
I've spent a good part of the last few weeks attempting to create multi currency petty cash forms for employees. I have settled on creating 4 forms; 2 for advances (local and USD) and two for re-imbursements (local and USD). Users (employees taking petty cash) aren't specialised in accountancy so the form needs to require minimal input from users with maximum automation.
The complications in creating these forms come from the cross over of currencies; advances may be given in USD, purchase invoices may then be returned in local currency and change may be returned in local currency.
Some local employees may also attempt to retain some of the local currency change hoping they can pilfer from the company so I also need to be able to track what proportion of USD has been exchanged for local in the transaction to monitor the exchange rate (if the rate is low I will question the employee). This sounds simple but not when there are multiple purchases from one advance, some of which may be denominated in local currency whilst some in USD).
There are additional complications which I won't go into here but I would first like to ask if anyone is in possession of such an excel sheet and if not, if I were to use the commercial services offered by this forum, what would be the cost of having someone produce these forms on my behalf? I would be happy to talk through the requirements further if need be.
