Question Translating table contents to a list (and linking them to specific numbers!)

    Goodday!

CONTEXT: Everyday I distribute "Colours" among a set amount of people. I've turned to Excel to make this an automatic process, to which I've gotten stuck on this one part; whenever I distribute the colours (per person) in a table, I have to translate this to a list. I stick to distributing the colours in the table for ease of use / oversight / making sure everyone gets a variaty of colours, and would very much like to keep it this way. However, every colour has a unique number (Ex: there can be a total of 3 "reds" with the numbers 1, 7 and 9), which (on top of the aforementioned struggle of converting a table to a list) has been a bonus pain to think about.

I have been cracking my brain on how to convert the contents from a table to a list in Excel, where the input in the table is predetermined and manually put in, but the list is automatically filled in according to the table. On top of this, the list is shown in a (also predetermined) order of colours (linked by number), which the output of said "translation from table to list" has to match.

Every colour has been distributed to a specific person in the table, which also have to be distributed in the list. On top of this (as well), there is a specific color that 1 specific person has to share (with a set amount of people that can be shared with).

I have included a representative Excel-document in the Attachments, if there are any questions about it please let me know!

Any clues, formulas, functions at all in the right direction would be greatly appreciated!!

For anyone who is giving this a shot, thank you in advance!

    Kindest regards,
    Zialon

If the object is to distribute the candy as equally as possible so that in the long run each person gets an equal number then the attached may accomplish that.

    Everything is data driven.

Add the colors and the amount of each color in the table in columns A & B. If you add new colors, they will be picked up automatically. If you have none of that color, it will not be reported.

Add the name of the people in columns D & E. when the program is run, the names are randomized so they constantly change position on each run.

Columns G & H are a generated "database" that matches the colors to the people. Since this normalized data, You can make a pivot table out of it. The pivot table responds to the data that is available.

One spreadsheet to rule them all. One spreadsheet to find them. One spreadsheet to bring them all and at corporate, bind them.

A picture is worth a thousand words, but a sample spreadsheet is more likely to be worked on.

    Zialon welcome to the forum.

Is your forum profile showing the Excel PRODUCT that you need this request to work with?

M-S keeps moving the 'goal-posts' ... changing terms and their meaning. The version number 2302 suggests your Excel Product is Office 365.

The best solutions often rely on knowing WHICH Office PRODUCT (Excel, NOT Windows) that you have. Please check that your forum profile is up-to-date. If you aren't sure, in Excel go to File/Account and report what it says below the MS logo at the top of that page. If your version is for Mac, please also state this.

The three most recent Excel PRODUCTS are Excel 2019, Excel 2021 and MS365 - if you are using MS365, please give this name along with the Version number in your profile (e.g. MS365 (PC) Version 2211). The version number is in the About Excel section further down the Account page.

    Thank you in advance.
