    Training Mangement

    Hi,

    I need to manage training of 50-60 members of staff over 3 different sections. I have a basic matrix up and running but i want to include features for easy report creation, specifically in regards to first aid training which has an expiry date.

    I'm not sure of the best way to create reports within excel but i'm sure it can be done, basically i want to be able to easily generate reports listing each individual's training with dates of training and expiry dates if appropriate. Similar in style to an invoice.

    I have a basic formula in the first aid expiry row, below the training dates, that if the date if the expiry date has passed the cell automatically calculates the date of expiry and turns red. Could this perhaps be improved?

    I would also like to generate reports based on staff members with expired training.

    The reports would need to be easily printable, brandable and well laid out.

    I would appreciate any help you can give on this project.

    The sheet is attached for reference - personal and senistive info has been removed.

    I think the reason there are nor replies is that while your sheet is very pretty

    (hope you dont fall foul of something i did once, created a visual display of the companies performance all neatly colour coded, only to get the smug grin wiped of my face when the boss told me he was colour blind!)

    It doesnt really allow for any (easy) automation/report generation, as everything is inconsistant!

    I have 3 projects I am working on Drivers Licence Tracking, Maintainance and Holiday/Time off tracking which all are of a similar nature to what you are trying to achieve!

    I can only point you in the direction I took which is to create Lists :-


    Employee/Course/Due/Taken/Due Next

    from this you can populate your grid by lookup

    And with a few lists like Course/Cost can combine to get reports on

    Cost this year
    Cost for a particular Year
    Who is due for a refresher
    etc

    The key to using any spreadsheet to produce reports is data consistancy, the layout and content of the inputs is more imporant than their presentation, the output needs to be pretty!!!

    Hope it helps you a bit in your quest

    I can make a few examples of what i mean if you need them, but I think you should try to break your problem into Input/calculation/output using in this case lists of names/courses

    Hi,

    I'd appreciate a little demonstration if you don't mind.

    I understand your point regarding the 'prettiness' i inherited the sheet from a manager so i assume he wants a pretty view like it is currently but it offers very little in way of searching and reporting of essential training.

    i use a database for managing training at work and have attached a sample (stripped down and numbers substituted for names and locations) might give you an idea of what can be done, but note this was not developed in a weekend
