    Shrinking part of a worksheet to give better view of data

    Hi,

    I have a booking sheet, part of which is a calender view showing all the days of a month.

    Ideally I would be like to be able to view all of the booking chart data at once to see when rooms are available.

    What's the best way of doing this and is it something that may be best done as a macro? (eg set it so that by pressing a button it gives me a screen shot of data all on one page?)

    I have attached an example, I would like to be able to see all the data in C2:AG54 as a screenshot all on the same page if possible (as if I had selected 'fit to page in print preview).

    The attachment is just an example, the real workbook goes across to B with various info which I why I need to separate this section)

    Would it work for you to simply adjust the scale % in View? You can place the "% scale" control on a toolbar for easy access if it's not there already. You can also record a macro to set the desired % and create a button for it.

    BTW I have a 22" monitor and have to use 50% to see those columns, and the data is just barely readable. You sure you really need it all on one screen?

    If it was for me, I would live with it as it is.....

    If I use the scale % button, doesnt that shrink the entire workbook which makes everything even smaller? Thats why I just want to shrink the selected text

    Well, the devil is in the details. There are multiple ways to attack this depending on what you actually need to do.

    Do you just need a way to view the entire range? Or do you need to work with the data in that view?

    Do you need to be able to permanently change this view, or go back and forth between the full-page view and a different view?

    Here are some things that come to mind:

    Organize your data so that the desired range is on its own sheet. Then adjust view scale as desired. That would be my first choice.

    Select your range of interest, and Set Print Area. Then go to Page Setup, and select 1 page wide and 1 page tall. Then use Print Preview. You will see the entire print area on one page. You could also use Print Layout View.

    Select the range, shrink the font, then autofit rows and columns. If you need to toggle back and forth you can write or record a macro to do this, and then make it bigger again. Add button on the sheet to run the macro.

    I might get other ideas if I understood why your user (apparently not you) needs to see the entire page all at the same time, and why it has to be just the selected text. It's a lot of data and will be difficult to read, regardless of the method used to get there.

    The user wants to use this to quickly scan the status of all rooms in each of the five houses that they rent out out, to see availability. They want to be able to see the availability all at once to be able to 'juggle' occupancy, to try and fit in as many enquiries as possible, (they dont want to have to scroll up and down or left and right as I have it at the moment).

    To get around this, I have been manually moving the page breaks and doing 'fit to page' and as I had recently been learning about macros it struck me that this might be something that one could be used for (I havent created one before).

    As you anticipated, the user would then need to be able to switch back to 'normal view' rather than permanently alter the range.

    Do any of my suggestions sound viable? If you need help doing this with macros I can help with that.
