    print spreadsheet with color coded cells print completely devoid of color

    I am making an electronic timsheet I am designing more pleasing to the eye by color coding everything that is locked in a light blue, and everything that the user must fill out in white. After the timesheet has been completed for the pay cycle, it is printed and signed.

    Is there anyway to tell the spreadsheet to only show color on the electronic version? That is to say, when it is printed, all cells should be completely devoid of color, as it is printed in B/W on colored paper (blue paper for union employees and pink paper for supervisors). Right now, the shaded cells appear "grey" when I print it in B/W on the colored paper.

    You could apply conditional formatting to the coloured cells to colour themselves white if a certain cell = 1 (or whatever) then you'd have a simple colour-coded/white toggle.

    Not exactly what you asked for, but an idea.

    A little analretentive are we? So I changed "Can" to "Need". I don't have a problem...I am stating a desired result, not an anticipated solution. Technically, my title is now in compliance with your rules. lol ... I couldn't even type a.n.a.l by itself; it was flagged as offensive.

    Nice thought, but not what I need. The "white" cells are simply to draw the eye to where information needs filling out. Many cells will be left blank because they are not applicable. This prevents conditional formatting from working in this case.

    I think you've misunderstood, all the shaded cells would have conditional formatting referring to (the same) one other cell, which would be the toggle.

    I find this site very useful. There are A LOT of users, so answers and help often come within only a few minutes. My title followed the rules by 98%, and would not have negatively affected a google indexing spider if someone had a similar question. I am just saying the energy spent to get me to remove the word "can" might have been better utlized just answering the question so the thread could be "Solved". Just because one might be a moderator does not mean they should not be receptive to constructive feedback. My reply did not use offensive language, and only stated facts. You see, his reply has now prompted extra replys from you and I that might have been better spent on more productive things. Just my $0.02 ... well you are a brit...so just my £0.013

    I see what you mean. I suppose the problem would be deciding which cell would function as the toggle. I would not want the entire sheet to turn white until the timesheet was complete and ready to print. I suppose I will have to give it some thought

    Actually, if you go to print, then printer settings/properties, most color printers will have an option to print as black and white, or in color. It really depends on the printer to which tab this option will be located (for instance, mine here at work has an option for black and white in the "Quality" tab).

    If your printer doesn't seem to have this option, then the toggle seems to be the best way that I can think of off the top of my head.

    Does it have a black and white option, or is a grayscale option; these are not the same. Grayscale will print varying shades of gray in lieu of color when it is selected. Does your B/W setting = grayscale, or does it literally only print everything that is black and white on your document, and ignore colors all together?

    When I re-read your reply I noticed you said "color printers". Our printers/copiers are not color, and so everything defaults to grayscale. I think I will just include a "Check this box when ready to print" cell that is outside of the specified print area and then tie all of the shaded cells to the TRUE statement. Thanks for your assistance.

    The problem is the inherient nature of a timesheet. Each one will be different from person to person and pay period to pay period. The last cell to fill in will almost never be the same one.
