    Post Date and venue wise Meeting Schedule

    Hi everyone,


    I have a data which consist of date, meeting time, meeting venue, meeting participants from one group of companies and meeting participants from other group of companies.

    Every group have their own meeting schedules between their group members.

    how to develop a combined report/table that shows date-wise, meeting venue wise meeting and show the participant names.

    I have tried to do so by using various linking options & even tried Pivot Report but due to text fields i.e. participant names as text entries unable to achieve my goal.


    Looking forward for guidance from valued and experience members.

    I think you're going to need to post your workbook here so we understand better what you are trying to do. I do not understand what you want your report to look like
    "report/table that shows date-wise, meeting venue wise meeting and show the participant names"
    It would help if you could provide a mock-up of this report.

    Thanks for your guidance. Here I would like to explain that on each dates there could be meetings in first half and/or second half at different venues. At the moment if you look for an instance the date 22-Jan-2011, there are four scheduled meetings, at different venues and they are shown on sheet schedule in 4 rows, however for each date if there are just two rows for 1st Half & 2nd Half, the entire meetings on that particular date can be covered. I hope it somewhat explained what i'm looking forward.

    First, your example shows a column for Group, which means that you expected there to be a separate row for each combination of date, half, and group. But your last comment contradicts that. Having a Group column doesn't make sense if you want both groups to be included on the same row, so I have deleted the Group column from the schedule.

    Second, I'm going to assume that your dates are every Saturday and Sunday for every week, and no other days. You don't explain that but that's how your data looks. All weekend dates are included; omitting unused dates gets a lot more complicated.

    There is a hidden "helper column" in column A on Data. This acts as a key to uniquely identify a combination of date, venue, and half.

    Thanks for your guidance. But here i have few observations,

    1. We have to link information with schedule sheet manually by linking cells, although it is doing the work but in case on any specific date the meetings can be only in One Half instead of Both the Halfs, so on that particular date only single row of that particular half appears (automatically in schedule sheet).

    2. Meeting venues are manually entered however, it need to be fixed for any number of venues (thru validation)

    Now for clarity i explain how it is working

    This is designed to cover max of 56 meetings.
    Infact i have 2 groups of participants. each group can have max of 8 participants. based on participants, number of meetings is determined as each participant of one group has a meeting with all other participants of that particular group. (that work has already been done) so the above 56 meetings can be in case both groups have 8 participants.
    so once the name of teams will be fed they will replace these A1,A2... B1, B2...,

    All i want that after all this done # of teams their names, meetings (which is currently done) then by entering venues and dates the schedule updates on that format.

    As you can see from looking at Dec 4 in your sample data, both halves appear, and in the same venue. This explanation says the opposite.

    In short, I cannot understand how my suggested solution does not solve your problem.

    Dear 6Stringjazzer,

    I'm sorry its my fault my explanation was not comprehensive enough to explain my purpose.

    First of all let me assure you, the solution you have provided is working and picking up the meetings for both the half (1st and 2nd) correctly for the respective meeting venue.

    Now I would like to reiterate my requirement by giving you a brief about my model that how it works. I hope this will clearly explain my purpose.

    Scope of Data

    Groups, Participants:
    The scope of my data is to cover maximum of 56 meetings.

    There are two meeting groups A and B and each group can have maximum of 8 companies. However, the number of companies may vary in each group. Once the number of participating companies in each group is established the number of meetings is worked out. In my data A1, A2,….A8 and B1, B2,….B8 denotes participating companies of Group A and Group B respectively. When I enter the name of participating companies these A1, B1 are replaced by their names. (I have already done this work).

    Meeting Veneus:
    As regards venues are concerned, in my data there are only 6 venues, however that number may increase or decrease depending on the total number of meetings. I have already covered that thru creating a validation list in my data and transpose that list to the output (schedule sheet) with the help of array formula.

    Meeting Dates:
    All these meetings are scheduled on Weekends. (sat & sun) only. And a specific time frame is defined that from date X to date Y the meetings will be conduction and it select the Sat & Sun between the two dates. (I have already done this work)

    Meeting Time:
    Meeting are scheduled in 2 half on any particular day either it can be in 1st half or in 2nd half or in both half’s of any particular date.

    Now All I wanted that once these all the above things are defined in the data sheet (number of participants, names, meeting dates, meeting venue, meetings time) the schedule is generated automatically on the pattern is it generating at the moment.
