    Common Excel sheet

    Hi All,

    I have a problem
    I am working over a spreadsheet where 7-8 people from different system on same network use that sheet.
    Now the problem is two system cant open the sheet on same time and if it opens it then only changes from one system is saved.
    So if 7 person wants to open the sheet at same time and work over it. It's not possible.

    I can't use Google or Microsoft office Online Spread sheet and neither I Can't buy office groove or Microsoft Share point.

    Help me over that.

    Hi,

    I only know one solution for that: when a person wants to edit the file, he or she downloads it and deletes the original from the server. After editing the edited file can be uploaded again.

    This only solves the problem of overwriting (and losing data), but it doesn't solve the problem that more people can't edit at the same time.

    It's possible, but you have to share the workbook. Press Alt+T+B and tick the checkbox and give ok.

    Not only 7 even 20 or 30 persons can access the same workbook and work with it simultaneously. But ensure the persons who are all working with the shared workbook should hit Cntrl+S before / after entering any new data and to view the changes done by the other users.

    It's based on user's requirement's. I am aware of the drawbacks but not too much to worry about it...

    The Sheet I am working on have more then 30 column and more then 300 to 400 rows and every day it adds more then 50 rows

    well with around 7/8 it will at somepoint crash,never had one that doesnt
    but a bit of good housekeeping doesn't go amiss
    1. once everyday make everyone save and exit
    2.then check in the"who has this workbook open"-delete any that are still in there except you and un-share then re-share
    that should help it work nicely

    if despite this the workbook starts to play up at any point ,stop all users entering data, tell them to save as.a local copy and then exit the workbook. do steps 1 and 2 then get them to re-enter any missing data from their saved copy
    sometimes none of this works and the thing just crashes if it does youll find in the same folder a file or files with a name like abd2c.tmp or similar you can try renaming it and opening

    it adds more then 50 rows
    From my point of view surely you can use it as shared workbook with even 20 members to access the file. It is not so bigger when comparing to size i thought. But one suggestion keep the file as .xlsb format.

    If the file is saved is in xls format and if some of them open the file in 2003 and some of them in 2007 then working simultaneously will cause damage to the file.

    not sure you are addressing me, but it will crash, trouble seems to be all the different views that get saved and users not closing down properly,say turning the pc of without closing that sort of thing ,causing the workbook to grow say from 12k to 12 meg,. its not a question of will it crash? but when will it crash?. simultaneous cell entry also causes more problems, say 8 users all enter something in a1 and save at the same time,sometimes excel cannot resolve the conflict.
    thats why its better to have a sheet layout that only one person at a time is likely to update or even a separate sheet for each person

    @ martindwilson,

    Negative's will be available in all things I am accepting it! See the positive's of the shared workbook

    Multiple entries on same cell will highlight the users with a popup menu when they save the file showing all the entries made by the users and ask the user which one to pick. So the best practice is that the every user should save the file before and after making any changes and the points which you listed in Post #7.

    I am suggesting all the above, since having more than 3 years of practical experience/difficulties with shared workbook with 25+ users.

    @ Sixthsense well ive had more than 14 years starting with '97 use of shared workbooks. if you follow the housekeeping rules ,that you never even alluded to,you may get away with it it does work and i still used them BUT you must know what you're doing and administer them regulary. when someone doesn't even know of the feature to share then i'd advise caution on use.

    @ martindwilson,

    Accepting all your thoughts and precaution methods. In simple example keeping a pen without a cap leads into leakage of ink or cause some harm to human body likewise, an excel function without an error handler will result errors. In the same terminology shared workbook without maintenance will cause serious damage to file and data.

    I believe you covered most of the possible precaution methods needs to be taken care while using the shared workbook by way of providing the links and sharing your thoughts.

    Now OP will also aware of the issues and in the initial stage of the post OP mentioned that
    if 7 person wants to open the sheet at same time and work over it. It's not possible
    and I just wanted to make OP aware that there is an option is available in excel and finally the discussion ends with the Precautions Methods Needs To Be Taken Care while working with the Shared Workbook

    Finally
    I will be working on Binary excel that means *.xlbs and will update file on server at day end.
    All the share Holders will maintain a duplicate file on their local machines and will update the same one after one.

    i know a way that can help you. I think it is the best way for you ti fix your problems. It is a add-in a-toos in Excel, it can help you to share your excel file in LAN or in Internet. In addition, it can help you to authorization for the other computer, what can connected to open what kinds of Excel file, what kinds of sheets, which have authorization to edit or only view, copy or print?
