Issues with a PDF saved as Excel and then formatting that data

    Hello,

My name is Ebony and I am trying to format data exported to/saved as excel from a pdf. The issue is, once I save the pdf as excel and open the excel spreadsheet, the data is jumbled and has no pattern for me to be able to format for example with text to columns. Someone here at my job that is no longer with us somehow did it in the past but I have no idea how. Attached is an excerpt from the pdf, the data once saved as excel from that same pdf and a spreadsheet that is an example of what I am trying to have the end product resemble. Any help is greatly appreciated. Please advise.

    Many Thanks

    Hi Ebony,

I have tried doing what you are asking many times in the past. Have always found that once something has been converted into a PDF the formatting is totally out of wack.
I have gone so far as to ask the source to provide that data in a spreadsheet or even CSV file.

If you have access to the info online via web page, it is easier to capture and apply to a spreadsheet.

If none of those are an option, I go manual entry.
If the PDF is in text format you can capture the data manually one column at a time.
With the cursor near the top left of a column of choice, hold down the ALT key and drag down and to the right to highlight a column. Copy and paste.

There are probably a few Guru's out there that have a better solution. But that has been my experience trying to convert PDF's to spreadsheet.

    Good luck.
    Cheers,

Re: Issues with a PDF saved as Excel and then formatting that data

There are some rather tedious steps you can take to get the data back into usable form.
How much time is it worth to you - as it may be quicker to just retype.

The issue with is that it appears the pdf was created from a scan of the sheets, rather than the data file. When created from Excel, it is often easy to get the data back into Excel. When you start with an image of the data, it takes more work to get it back out.

If you want to start this yourself, here are the first few steps I took to work on your project:
    - Open the FOR EXCEL FORUM spreadsheet.
    - Adjusted all row height so all the same, automatically
    - UNMERGE all cells
    - delete all totally empty columns (as you can see, there are quite a few!)
    - added a blank row between each grouping, formatted as a gray background, so I could visualize your data better (you may not need it as you are familiar with the data)
    - **** aligned columns*****
    - inserted a new row 2, amended to be a corrected header row

NOTE: Aligned columns - not fully described

    Hope this helps!
