How to change the options in the dropdown?

    Hello clever people,

I have inherited a rubric created in excel which I really like and would like to adapt across courses. I'm not sure though how I change the number options in the dropdown? For example, currently there are 6 options ranging from 2.5 to 5 (out of 5): example 1 excel rubric.jpg

    Example 2 excel rubric.jpg

    However, I would like this instead to be: 0, 1, 3, 3.5, 4 and 5

I don't even know where to start!

    Many thanks in advance

    Welcome to the forum.

That 'dropdow'n is a filter - it will show only items that are in the fiked (or column).

Can you explain in detail what you are trying to ahcieve here?

There are instructions at the top of the page explaining how to attach your sample workbook (yellow banner: HOW TO ATTACH YOUR SAMPLE WORKBOOK). Screenshots are of little practical use as we cannot manipulate them.

A good sample workbook has just 10-20 rows of representative data that has been desensitised. It also has expected results mocked up, worked examples where required, relevant cells highlighted and a few explanatory notes.

Re: How to change the options in the dropdown?

that looks like a filter on a header , which filters based on the values that are in the column its filtering
Not a dropdown , where you can select the value and its entered into the cell

are you wishing to filter the data based on 0, 1, 3, 3.5, 4 and 5 or enter new data into the cell but only allow 0, 1, 3, 3.5, 4 and 5

Note: Images are difficult to see , and also requires that I input all the data myself, which means I may make an error, which is very time consuming, and from my point of view less likely to get a response, if a complicated spreadsheet.

A sample sheet would help here, and possibly will enable a quicker and more accurate solution for you.

The forum does allow for spreadsheets to be uploaded direct to the forum -

Please see the Yellow Banner at the top of the page explaining how to attach a sample spreadsheet

A good sample workbook has just 10-20 rows of representative data that has been desensitised. It also has expected results mocked up, relevant cells highlighted and a few explanatory notes.

Here are the instructions, found at the top of the page again
Post a small Excel sheet (not a picture) showing realistic & representative sample data WITHOUT confidential information (10-20 rows, not thousands...) and some manually calculated results. For a new thread (1st post), scroll to Manage Attachments, otherwise scroll down to GO ADVANCED, click, and then scroll down to MANAGE ATTACHMENTS and click again. Now follow the instructions at the top of that screen.

Re: How to change the options in the dropdown?

    Hi all,

Thank you for your reply- I really appreciate your time!

I've attached the rubric (practice in the title) I'm working on/trying to update as well as the "exemplar" that was my inspiration. I did think that there was a dropdown option at one point for each of the cells- but perhaps I deleted it? Or imagined it.
The sheet probably doesn't need it.
However, my goal is for the columns M and N to show the total, currently they are coming up as "FALSE" and the grade in column O is also incorrect- that should be HD, D, C, P etc.
I would like it to work like the exemplar :-)
I did delete columns to make it work for the new assignment- seems I made an error along the way?

    Thanks again for your time!

    In M3:

    =IF(COUNT(Table2[@[Relevant content (5)]:[APA formatted & referenced (15)]])=COUNTA(Table2[[#Headers],[Relevant content (5)]:[APA formatted & referenced (15)]]),SUM(Table2[@[Relevant content (5)]:[APA formatted & referenced (15)]]),"")

    In O3 (missing comma):

    =IF(N3<>"",IF(N3>=85,"HD",IF(N3>=75,"D",IF(N3>=65,"C",IF(N3>=55,"P1", IF(N3>=50,"P2","N"))))),"")

I don't see what any of this has to do with drop-downs!!!

Re: How to change the options in the dropdown?

If my solution has fixed it, then don't bother. If not, then click Edit Post under the first post and edit the title there.

However, if that takes care of your original question, please choose Thread Tools from the menu link above and mark this thread as SOLVED.

Also, if you have not already done so, you may not be aware that you can thank anyone who offered you help towards a solution for your issue by clicking the small star icon (* Add Reputation) located in the lower left corner of the post in which the help was given. By doing so you can add to the reputation(s) of all those who offered help.

Re: How to change the options in the dropdown?

Thank you Ali, you have helped me in the past- and I really appreciate you sharing your expertise!!

Before I close this post- it is somewhat related to the original "dropdown" idea is there a way to restrict the cells to only 6 options? Or will that just get too complicated, and muck up the formulas you had put in the worksheet for me? Which are great by the way!

I think markers using the worksheet could pick any old number but they really are restricted to a set of numbers (those range of numbers I had put in each column).

    I hope that makes sense!

But if that's going to make a complicated marking spreadsheet, it'll be great the way it is!

    Thanks :-)

Re: How to change the options in the dropdown?

Lo and behold, I've figured the dropdown option out myself!

    Using the Data validation option.

Thank you for your help! I can solve this now :-)
