i am trying to copy row 4 down to row 20 maintaining the formulas . unfortunately i have added a $ to the locations which makes it static , when i remove the $ it automatically puts it back in .

yes ,rows 4 to 20 are to maintain the formula but the $ i think is preventing it from copying down and it willnot allow me to remove the $ .
I am surprised that you are not able to remove the $. Are you talking about column T? In your sample file, that is the only field that has the formula and i am able to remove the $. I then used the macro given above (post 3) - though it needs to be changed a lil, and got the formula to change from S4 to S20.

Sorry if i'm unclear , i'm fairly new to this , i meant the formulas in conditional formatting will not remove $ .

You need to remove the $ to the formula and NOT to the range the conditional formula applies to. For instance in the case of the first Conditional rule I can see on your worksheet which applies to rage $A$4:$R$4 with formula =$S$4=TODAY(). Just change the formula to =$S4=TODAY() and it should do fine when copying to other rows. Do the same for each conditional formula - double click on the rule and modify the formula, not the range it applies to.

I have tried this but after i copy to the next row (5) it assumes the location as $A$4:$R$5 . How do i change the location to $A$5:$R$5 automatically ?
