    How to copy and paste an Excel chart and data table in PowerPoint neatly?

    Hi Forum,

    Could anyone help me on this.

    I have a chart and a data table (please see attached file named “delete_1.xls).

    I need to present these 2 items in a single slide of PowerPoint.

    I have done like this.

    • First copied the chart from Excel.
    • Then pasted it in PowerPoint using “Paste special”.
    • Then clicked “picture (windows metafile)” – this is to reduce memory consumption

    Then repeated the above steps for the excel table too.

    The PowerPoint slide that I got cannot be attached as system doesn't allow me.

    Question:
    I wanted to a give a paper copy of the PowerPoint slide to my Director who needs a PowerPoint slide and not an Excel chart. But in the slide, the numbers of the table look much juggled and as if the numbers are too closely typed.

    I tried with various different fonts in Excel and then copy and pasted in PowerPoint but the problem persists.

    Could anyone please give me a clue what things I should do in Excel table so that cell values are clear in the Table presented in PowerPoint ?

    Hi Mirisage,

    I copied the picture as a metafile into powerpoint with no problems. I then selected the excel table cells, CTRL+C, into powerpoint, CTRL+V, and it worked no problem? I would avoid pasting the table as a metafile as this means that if you resize it, the font will be resized also. By just pasting it normally, you can resize the table but the font size will stay the same. If you want to increase or decrease the font size, just highlight it and change it as you would normally.

    Hi Brumbot,

    Thank you very much for your v. useful response.

    Actually the problem is more complicated with more data are coming in.

    I wanted to present the Excel chart *** the Excel auto-generated table underneath it together with the other table (highlighted in yellow for clarity) in the attached Excel file (named Erase_1.xls) in PowerPoint.

    What I have done I have used CTRL+C and CTRL+V approach suggested by you to make the PPT slide.

    However, the challenge is aligning the yellow table with the chart’s MI, M2 ….etc. neatly and the readability of the numbers.

    I have done the aligning very manually but is there any functionality either in Excel or PowerPoint to do this aligning smartly?

    If the boss just needs a paper copy, select the range with the chart and tables and print, using the Print Selection option.

    To keep things lined up nicely, line them up in Excel, then copy the whole range, including both tables and the range beneath the chart, copy this, and paste into PowerPoint as a picture. Quicker and easier, and probably looks nicer.
