    Flight time: Calculating number of minutes required by a date to remain current [Updated]

    Hi,
    As part of our search and rescue drone training we have to have a total of 120 minutes flight time in the last 90 days to remain current.

    I want to be able to calculate the next date that a pilot will need to have flown by and how many minutes they will need to stay current.

    I have attached a spreadsheet with an example of the table each pilot currently uses ( and a text box containing the requirements outlined above).

    I have tried a couple of approaches using match, index and I although I am sure it cannot be as hard as I am making it for myself have not had enough coffee.

    Welcome to the forum.

    Please update your forum profile with the version of Excel you are using for this particular project, or be a bit more specific (as I have been in mine). 'Multiple' tells us precisely nothing that is of any use!

    I am not entirely clear how you want this to work: you cannot have a formula and manually entered data in the same cell (once a formula is overwritten, it is gone). I think you might need to have another column that calculates when the next flight should take place.

    By the way, assuming version 2016 for Office 365 is wrong: they are not the same, and the latest standalone version is 2019, anyway. 365 is the subscription model, therefore is always up-to-date.

    Hi Ali,
    The worksheet is for each pilot. The table of the entered data for each pilot is referenced by a summary sheet (where I have sum products etc with calculation of some information required by our team leaders.

    I am interested in the formula to calculate the date and number of minutes. It can sit in an additional column or outside in a cell that I can reference. I was struggling with how to identify the correct table row in the formula. I am sure I am missing something obvious

    I could possibly do it with VBA but the organisation is very strict about macro enabled spreadsheets and also it limits the amount of resources able to maintain it.

    Would it be helpful for me to anonymise the summary sheet as well to provide context or do you have enough information?

    Hi Ali,
    The summary sheet relates to each pilot. I removed the other pilots for confidentiality reasons but retained my worksheet and the formulas which are the same for each pilot, they just reference their specific table

    I did see the note about the version of Excel but I am not on my work computer and will update as required later once I have verified.

    You could add the label Current in A15, and the formula =SUMIFS(B6:B13,A6:A13,">="&C2) in B15. The B15 value would be flight minutes since the date in C2 inclusive. Change ">=" to ">" in the formula if you want exclusive.

    Then in A18 and B18,

    A18:
    Formula: copy to clipboard

    which would give tomorrow's date if current flight minutes were less than 120 and 120 less current flight minutes; otherwise, these give the next date on which current flight minutes would expire and the number of flight minutes expiring.
