Prior booking of Outlook Calander for the Whole Year

Hi Everybody,

Will appreciate if anybody can help me out on the following:

"Scenario is that a specific meeting is held in the last week of every month. A large group of people in the organization attends it, as its mandatory. Since I tend to arrange it, I am looking for a way-out where I can book their calendar for once for the whole year rather than sending an invite every month. It will help the attendants to plan their month much ahead of this important meeting and will ensure maximum attendance."
