    Creating a Uniform Stock List

    Hello everyone,

    I am asking for quite a bit of help actually for some Excel advice on how to make a good Uniform Stock List. I work for a company and we don't really have a system in place for this and I really want to make a good 'programme' in excel that would allow us as a company instantly see how much uniform stock we have. I'm not a whizz with Excel and would like to learn new functions as well, so thought it's a great idea to do this as we would benefit and I would learn a lot from it.

    What I was initially thinking was to not even have the stock control visible to the user, and have it in the background which would be password protected and accessed by 'Stock Inputters' like myself and others. What I wanted is the user looking for stock would open up the excel spreadsheet and be greeted with dropdown boxes with various options of what categories of uniform, size and if they are new or secondhand that they would be looking for. The programme would then look in the behind section (not viewable to the user) and look up how much stock we have of that product and produce a result.

    That user can then potentially order that item from us, reserve it or just generally know what stock is there for another time.

    If there is anyway of doing this at all? Apologies for the rough outline of what we would like but there are people who work here who have done this before, for example these dropdown programmes in excel where everything happens 'behind closed doors' effectively to give a result to the customer.

    For example.. What I would like it to do is have a table(s) in the background where stock is inputted on a regular basis. Once the user requests how much stock there is of a specific item, the programme will simply look up the table, agreeing all the correct search values are right and give the user a figure. This seems like it would be a simple table data look up?

    Please see attached screenshot of the tables I am making. I have researched how to make dropdown boxes and these seem quite straight forward to do, but how to link them up to produce a result seems a little more difficult.

    I would really appreciate your help and I hope we can get this working. As you can also see there are different sheets with more stock options on.. Would that makes things more confusing? Or would it be better to have them on one page?

    Hi and welcome to the forum.

    This doesn't sound too taxing if you know what you're doing and certainly something you can get help with.

    I would suggest a slightly different layout to the data though. Rather than all those individual tables have one big table that contains everything. Looking up data from one table is far easier than from lots of little ones.

    One question for you.... Who are the "users" of this tool? Other than stock inputters?

    Hi BSB,

    Thanks for you getting back to me. We could do a big table, I agree with that but we do have lots of categories to put in. For example, Pilot and Cabin Crew trousers have sizes whereas a Ground staff ladies scarf has no size, it just comes in as one size.

    The users of this tool would be one of our admin staff here who orders uniforms and distributes a bit of the uniform out. Another person would be our Cabin Crew Services Manager and also some ground operations staff at the airport. But the only people we would want to allow access to change the stock list data would not be all the people at the airport or our cabin services manager, we just want them to see what stock is there.

    Hi BSB,

    Please find attached of which I have changed a little bit more to make it easier to see exactly what type of stock we have and to make it easier on the eye. I really do appreciate your help and hope we can make this work..

    Hi BSB,

    I've now made a table with everything in... Is this more helpful? I really want to make some dropdown lists to select/show what stock is available to a user.
